• Visitors - receives visitors to the office and advises the relevant internal party of their arrival.
• Refreshments – ensures refreshments are provided to visitors and internal meeting coordinators in the waiting area and meeting rooms as appropriate. Ensure refreshments, crockery and cutlery are cleared away after meetings and that crockery and cutlery are cleaned and stored after use. Ensure reception pantry is stocked with refreshments.
• Meeting rooms – manages meeting rooms bookings and ensures meeting rooms are clean and prepared as appropriate in advance of meetings. Assist with setting up video conference equipment when IT staff are unavailable.
• Telephone – operates the telephone switchboard, ensuring that incoming calls are answered promptly and politely and are diverted to the appropriate internal party as efficiently as possible, or clear messages are taken and passed to the appropriate party quickly.
• Mail – receives incoming mail from postal service and courier companies. Arranges for mail to be sorted and to be delivered to the relevant internal party as quickly as possible. Collates outgoing mail and courier packages and arranges for it to be posted, delivered in person or collected by courier company.
• Reception relief – arranges for relief cover at lunchtimes, during annual and other leave and other times as necessary.
• Assist visiting staff with arranging local travel as required.
• Assist vendors with carrying out routine office equipment readings, minor repairs such as light bulb replacement.
• Replenishing staff pantry fridge with drinks.
