Responsibilities

• Respond promptly to customer queries to deliver excellent customer service
• Coordinate with relevant departments and staff to resolve customer requests and feedback professionally and timely
• Manage customer feedback and recovery processes to enhance customer satisfaction
• Prepare and process invoices accurately and on schedule
• Organize and maintain customer contact and sales data efficiently
• Perform daily administrative duties as assigned to support operations

We are looking for a receptionist to be responsible for being the face of the office - greeting clients and visitors and general admin duty. You will be in charge of contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.

The candidate will need the following:

• Flexibility is essential, as well as a willingness to assist with tasks.
• Help solve unforeseen problems, answer queries etc.
• Good communication is an essential attribute as we will supporting an office of various nationalities.

ROLES & RESPONSIBILITIES

• Managing the reception, answering incoming calls, and transferring calls to relevant personnel appropriately
• Attending to walk-in customers and directing them to the relevant staff.
• Meet and greet visitors and notify appropriate staff of their arrival.
• Maintaining reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms).
• Some Administrative work & Data entry and updating databases.
• Handle courier, postal, and dispatch activities.
• Assist management with basic admin tasks.
• Handle day-to-day office administration.

Job Description

• Answer, screen, or forward telephone calls; providing information, or taking messages.
• Greet visitors entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
• Facilitate planned events, such as directing caters, logistics arrangements, etc.
• Send information or documents to customers, using e-mails or traditional mailing methods.
• Provide information about the company, such as location of the office, employees within the organization, or services provided.
• Perform administrative support tasks, such as restocking the pantry, photocopying documents, upkeeping of records, etc.
• Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
• Any other ad hoc duties as assigned

Requirements

• At least 1-2 years of relevant experience
• Computer literate and tech savvy
• Experience in planning company events
• Good communication skills and pleasant disposition
