Supply Chain Administrator (Engineering & Operations)

If you are a highly organized, proactive professional who loves keeping things running smoothly, we want you on our team. As our Supply Chain Administrator, you will be the operational backbone of our Engineering and Supply Chain teams at the manufacturing plant.
What You Will Do (Roles & Responsibilities):
Inventory & Engineering Store Command
- Own the Spare Parts Lifecycle: Manage the end-to-end spare parts inventory, including the creation and inventorization of new parts and the seamless replenishment of existing stock.
- Keep the Lines Running: Step in as the hero to assist with engineering store operations (spare part dispensing, system posting, and new part creation) during the storekeeper's absence.
- Stock Integrity: Actively assist in engineering stock counts to ensure 100% inventory accuracy.
Strategic Procurement & Vendor Management
- Drive the Purchasing Process: Issue and manage Purchase Orders (both blanket and non-blanket) for day-to-day engineering operations, keeping our Ariba tracking files perfectly updated.
- Vendor Sourcing & Negotiation: Source Request for Quotations (RFQs) and negotiate with both existing and new vendors to get the best value.
- Global Logistics: Arrange carriers and transporters for overseas spare part deliveries, tracking them from the supplier’s door to our receiving bay.
- Financial Accuracy: Execute accurate Goods Receipt (GR) processes and relentlessly track PO approvals, sending friendly reminders to approvers to prevent bottlenecks.
Compliance & Sustainability Support
- Environmental Operations: Play a key role in our sustainability efforts by conducting daily updates on our Wastewater Treatment Plant (WWTP) operations and managing the replenishment of WWTP and DI chemicals.
- Regulatory Reporting: Ensure we meet government standards by submitting accurate, weekly Department of Environment (DOE) reports via the MDMR system.
Cross-Functional Collaboration
- Partner directly with Project Engineers to facilitate seamless PO issuance and project support.
- Assist our Facility Engineer with CEB (Central Electricity Board) management, handling corresponding POs and GR processes.
- Assist in finance related activities as and when required, deemed appropriate and required by the Financial Controller or Business Partner.
Who We Are Looking For (Requirements):
- Experience: 2 to 3 years of hands-on experience as an engineering/spare parts administrator or supply chain admin within the manufacturing industry. (FMCG/Consumer Goods manufacturing experience will give you a major advantage!)
- Education: At least a Diploma in Manufacturing, Supply Chain, Logistics, Business Administration, International Business, or any other related studies. SPM certificate holders with at least 5 years’ relevant working experience similar to that of the job description above will be considered as well.
- Communication: Excellent proficiency in both written and spoken English and Bahasa Malaysia to communicate effectively with vendors and internal teams.
- Tech-Savvy: You are highly proficient with computers, spreadsheets, and slide presentations. Experience navigating the Google Workspace environment (Docs, Sheets, Slides) is a fantastic added advantage.
