Key Responsibilities:
Prepare legal contracts and documents as instructed by the supervising counsel to support legal compliance and business operations
Coordinate with directors and shareholders for approvals and execution of resolutions and other required documents in a timely manner
Conduct legal research to provide accurate information and support for legal team
Assist with corporate governance duties in relation to various corporate entities, including but not limited to:
Taking and drafting of Board notice and agendas
Preparing and filing required notifications relating to change of directors and other relevant information
Preparing documents in relation to filing of annual returns and AGMs and liaising with the internal stakeholders and third-party service providers as necessary
Maintain organized filing system for physical and electronic documentation of legal documents
Build and maintain positive working relationships with internal stakeholders across legal and commercial divisions
Other duties as required by the supervising counsel
Required competencies and certification:
- Proficiency in written and spoken English and Chinese is required to handle mainly English and Mandarin-speaking stakeholders and correspondences
- Minimum 2 years of paralegal experience in a law firm or corporation
- Strong working knowledge of MS Office, particularly Excel, and other software applications including SharePoint
Preferred competencies and qualifications:
- Japanese language ability is a plus as the individual will liaise with stakeholders from Japan and handle Japanese correspondences
- Strong interpersonal, verbal & written communication skills
- Demonstrated ability to work independently and as a positive contributor to team efforts, including follow-ups, organization & prioritization
- Demonstrated ability to manage projects to meet established goals
- Ability to understand and work with complex legal structures across the organization, both domestically and internationally
- Demonstrated ability to work effectively with all levels of the organization, including senior management
