Job Summary

Responsibilities

• Analyze customer preferences and forecast consumer trends to guide product selection
• Evaluate supplier options based on price, quality, and brand image to optimize purchasing decisions
• Source and purchase new products while assessing the quality and popularity of existing store items
• Negotiate agreement terms to secure favorable outcomes for all parties involved
• Monitor stock levels and plan purchases within budget constraints to maintain optimal inventory
• Collaborate with internal teams and external partners to execute activities that build brand awareness and drive sales
• Develop and maintain trust-based relationships with suppliers to improve product assortment, cost efficiency, and marketing support
• Attend industry events, fairs, and exhibitions to stay informed on market trends and innovations

• Vendor Sourcing & Management

- Identify and evaluate suppliers for precision components, raw materials (metals, alloys, specialty materials), tooling, and consumables

- Develop and maintain approved vendor lists

- Conduct supplier audits and performance evaluations (quality, delivery, cost, compliance)

- Build long-term relationships with strategic suppliers

• Procurement Planning

- Review MRP/production plans and raise purchase orders accordingly

- Ensure on-time procurement to avoid production delays

- Coordinate with production, quality, and engineering teams for material specifications

- Prepare and process purchase orders (POs)

- Track order status and expedite critical deliveries

• Cost Control & Negotiation

- Negotiate pricing, payment terms, and contracts with suppliers

- Perform cost analysis and benchmarking

- Identify cost-reduction opportunities without compromising quality

• Inventory Coordination & Documentation

- Monitor inventory levels and coordinate with stores/warehouse

- Avoid stockouts and overstocking

- Support inventory optimization initiatives

- Maintain procurement records and documentation

- Coordinate with finance for invoice verification and payment processing

Key Responsibilities

Warehouse & Store Coordination

Requirements

Job Description

• Handle day‑to‑day procurement operations on GeBIZ and Workday, including creating and updating catalogue items, variations, and related tasks.
• Create, amend, and close Purchase Orders (POs) on both platforms.
• Troubleshoot system errors on GeBIZ and Workday.
• Conduct open PO monitoring exercises.
• Support ad‑hoc procurement‑related projects.

Candidate Requirements

• Minimum 1 year of relevant experience in a purchasing or procurement role, preferably within a government agency.
• Possess a Supply Chain/Procurement certification or other related qualification.
• Good customer service, communication, and time‑management skills.
• Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook).
