Responsibilities

PEOPLE

• Liaise regularly with Project Managers on Project Requirements
• Maintain Perm, Temp and Vendor resource inventory.
• Ensure staff reflected correctly in MOS/Systems.
• Help the program manager in monthly task allocation and performance review/appraisal.
• Track Temp and Vendor expiry and renewals.
• Track On-boarding / Off boarding etc.
• Time-sheet assignment.

PROCUREMENT

• Track Memos, SOW, Procurement records.
• Track and ensure timely invoice submission & any correction request from client.
• Purchase Order (PO) Tracking & Cost Management.
• Track Vendor payment.
• Filling contract documents.

ADHOC REQUESTS

• Coordinate info collection and submission (e.g. seating forecast, aging vendor payment, Analytics, Budgeting, Performance Management, etc.)
• Data Analysis and Reporting to Program Manager on an as needed basis
• Customize company sales deck and presentations as required

Skills/Requirement

• Degree Holder from an accredited institution.
• A friendly demeanor and ability to excel in a team-oriented environment.
• 2 + years of relevant experience as a PMO, preferably in ‘Financial Domain IT’ Industry
• Strong proficiency with Microsoft Office (especially Microsoft Excel).
• Ability to manage time effectively, set priorities and meet deadlines.
• Proficiency in Microsoft Excel (Pivot, Tables, VLOOKUP, XLOOKUP, Data Validation, Formula)
• Experience in telco contract tracking, vendor coordination and data management are an advantage
• Experience in managing inventory lifecycle

Job Scope:

• Provide onsite project management services for assigned project and to manage any infrastructure works to ensure the completion is in accordance with the timeline.
• Provide technical consultancy and support to the operational users in the enhancement of existing infrastructure, review and endorse technical design for the projects, work with users and vendors to implement enhancements that meet users’ requirements.
• To manage the necessary requirements from the project vendors such as to plan, manage and ensure the progress of relating projects and resolve arising issues to ensure the timely completion of the projects as scheduled.
• To manage and monitor the performance of the vendors engaged for the projects to ensure that the compliance to the contractual and Service Level Agreement (SLA), and to take appropriate corrective actions in cases of poor performance.
• Provide weekly reporting of status on project schedules and work done in an accurate and timely manner, prepare and distribute regular performance and status reports as required.
• To ensure the reports provided by the project vendors are up to date.
• To manage the project scope from project vendors, in the case of any troubleshooting or technical of related project issues, the assigned project manager is required to coordinate with the vendor until the issue has been resolved or addressed. The assigned project manager may be required to be recalled on-site outside of office hours, depending on the situation and urgency.
• Escalate any deviations in project timelines, incidents, relevant concerns and to provide the follow up actions.
• To review and ensure accuracy in any necessary paperwork and technical documentations provided by the project vendors.
• To support any other additional interface connectivity and network for applications and security system during the service contractual period.

Requirements:

• Minimally 10 years experience in Project Management
• Must be minimally CCNP and PMP certified
• Prior working experience in IT Network Infrastructure, data centers and Telecommunication projects

Job Description

• Investigate all reported problems/errors & initiate amendments & testing so that the system can operate correctly & efficiently.
• Propose effective work-around or alternative solution, oversee the selection of solutions and estimate resources/cost required to implement the proposed solution to meet customer’s requirements
• Manage changes to configurable items. It covers configuration management planning, configuration identification, configuration controls & audits.
• Conduct review & integration testing to ensure the quality of deliverables before handing over to users for UAT.
• Develop technical design specification & translate design into specifications.
• Develop test package, execute test and document test results to ensure the quality of the program.
• Prepare & maintain up-to-date system documentation.
• Ensure overall customer satisfaction.

Requirements

• Degree in Computer Science or related disciplines
• Good knowledge with hands-on experience in managing IT incidents and problems.
• Good analytical skills with ability to quickly establish cause of system issue reported.
• Good interpersonal skills with ability to work with others to resolve problems.
• Ability to communicate information well to co-workers and management verbally and in writing.
