Key Responsibilities

• Process and fulfill orders promptly and accurately, from receiving to delivery.
• Respond and follow up to customer inquiries, feedback, and orders.
• Handle customer complaints and feedback by investigating, resolving, and escalating issues to Seniors and the Regulatory & QSHE team quickly and independently.
• Manage documents like certificates of analysis/ compliance and inspection statuses.
• Coordinate with logistics teams to track the delivery status of customer orders, providing timely updates to customers.
• Create, collect and manage sales data, customer contact information and reports.
• Keep a well-organized filing system for easy access to work documents.
• Suggest ways to improve management systems to your supervisor.
• Other necessary tasks as assigned.

Responsibilities:

• Handle all reservation-related tasks, including individual and group bookings, ensuring accurate details (rates, room types, guest info, flight details, guarantees, and cancellation policies).
• Serve as the central point of contact for guests via phone, email and messages, transferring inquiries to the appropriate departments professionally.
• Coordinate with Central Reservations, Sales, Revenue and Front Office teams to ensure smooth management of room blocks, rate loading, guest requests, and billing instructions.
• Provide prompt and courteous assistance to guest inquiries regarding hotel services, room availability, local attractions, transportation, dining and special requests.
• Manage rooming lists and pre-arrival arrangements, ensuring timely communication of updates to relevant departments.
• Monitor and follow up on group reservations, including pending rooming lists, cut-off dates and amendments (extensions, early departures, or date changes).
• Communicate hotel promotions, packages and updates clearly to maintain consistency in guest experience.
• Support administrative tasks such as invoice inquiries, lost and found coordination and guest follow-ups.
• Maintain strong system proficiency in Opera Cloud, StayPlease and telephony systems for accurate daily operations.
• Assist in training and onboarding new hires, ensuring high service standards.
• Uphold guest privacy, safety, and hotel emergency procedures, maintaining professional grooming and appearance.
• Perform additional duties as assigned by management in line with operational needs.

Requirements:

• Minimum one year of experience in a hotel or hospitality environment preferred.
• Familiarity with hotel telephone systems and basic front office operations.
• Good communication and interpersonal skills, with a polite and professional phone manner.
• Customer-focused mindset with the ability to handle guest inquiries and requests efficiently.
• Ability to multitask and work in a fast-paced environment.
• Basic computer literacy and proficiency in relevant software applications.
• Detail-oriented, organized, and reliable.

Job Description

• To ensure a smooth and accurate order fulfillment and logistics management for overseas distributor.
• Plan and submit demand to in-house system.
• Raise PI (proforma invoice) based on allocation received.
• Generate and issue weekly account statement.
• Liaising with Sales to ensure timely collection of customer payment.
• Arrange delivery based on different inco-terms, assist company in delivery cost controls, prepare export documents such as BL, commercial invoices and packing list.
• Closely monitoring shipment status from worldwide manufacturing sites, update stakeholders on delivery schedule and ensure all deliveries are smoothly made.
• Prepare and process shipment for letter of credit (LC), arrange export documents and ensure data accuracy and present LC documents on time. Monitoring transactions and follow until payment received.
• Thorough and regular refund/rebate document preparation. Ensure accuracy and timely process of the rebate documentation.
• Actively liaise with customers and Sales team to provide logistics and order supports.
• Ensure customers’ requests and enquiries are fulfilled in a prompt action.
• Aggressively follow up and be proactive in provide extended support to both internal and external teams.
• Any other tasks as and when assigned by the management.

Job Requirement:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma in Supply Chain/Business Admin or relevant.
• Minimum of 1 year(s) of working experience in the related field is required for this position.
• Candidates must be proficient in Mandarin due to regular daily communication and liaison with our HQ.

Supply Chain Executive – 6 Months Contract – Singapore

I am currently looking out for a Senior Associate – Supply Chain (Sales Support) to support the sales team in daily logistics operations, focusing on PO acceptance, on-time sales recognition across the region and inventory management activities.

Key Responsibilities

• Coordinate with 3PL providers on inbound and outbound shipments and resolve logistics issues to ensure timely delivery.
• Process customer POs across APAC, including invoicing, credit notes, price verification, and payment follow-ups with finance.
• Manage inventory transactions in ERP and perform monthly stock discrepancy analysis for consignment stock.
• Maintain shipping records, tracking details, and ensure all shipping documentation and approvals are in order.
• Analyse slow-moving stock and work with sales to improve inventory turnover.
• Prepare key reports such as inventory and weekly sales reports.

Requirements:

• Diploma or Degree in Supply Chain, Business, Logistics, or Operations Management.
• 1–3 years of experience in supply chain, logistics, inventory, or operations.
• Knowledge of export documentation and LC payment processes.
• Experience with ERP systems and strong Excel (Pivot Tables).
• Analytical, detail-oriented, and a good team player.
