• Position: Admin Assistant (Construction)
• Location :Loyang- few bus stops from Pasir Ris MRT
• Working hours: 5.5 days, Monday-Friday 9.00am-6.00pm Saturday half day 9.00am-12.30pm
• Salary (commensurate on experience): Up to $3000 + Bonus + 14 days annual leave
• Duration: Permanent
• Industry: Timber Flooring

Main Responsibilities:

• Handle customer enquiries via phone and email
• Provide administrative and customer support
• Prepare invoices and delivery orders
• Update customer records in the database
• Share basic product information and follow up with customers
• Support other administrative duties as assigned

Requirements:

• Diploma or equivalent qualification
• At least 1 year of administrative or customer service experience
• Experience in construction, renovation, interior fit-out, or related industries will be an advantage
• Proficient in Microsoft Office
• Able to communicate clearly and provide good customer service

What you'll be doing

• Process and record accounts payable

• Maintain and update accounting records and documentation

• Handle intercompany billing by raising invoices and debit notes for project costing

• Liaise with internal and external stakeholders on accounting-related matters

• Ensure compliance with company policies and accounting standards

• Provide administrative support to the Finance team as required

What we're looking for

• Minimum Diploma level or equivalent with at least 1 year of relevant work experience

• Good analytical and communication skills

• Ability to work effectively in a team and independently

• Proficient in using accounting software and MS Office applications

• Fresh graduates are welcome to apply

• Working Days: 5.5 days / 8am - 6pm

Requirements:

• At least 5 years of admin experience
• Proficient in MS Office & Excel

Responsibilities:

• Correspondence with clients
• Provide admin duties and clerical supports
• Support in submission of monthly claim / receivables for projects
• Generate invoices
• Assist in preparing bank reconciliation, monthly finance reports, GST submissions, account receivables and payables, tax-related matters and audit-related queries
• Maintain date accuracy in accounting software with proper documentation, filling and entries
• Other ad-hoc duties as assigned

Responsibilities:

• Source and procure materials, plant/equipment, tools, and other required items.
• Issue enquiries to vendors, obtain quotations, and prepare cost comparisons with recommendations.
• Prepare and submit Purchase Orders (POs) for management approval and ensure POs are issued to approved vendors.
• Liaise with vendors to monitor delivery schedules and compile Delivery Orders (DOs).
• Verify invoices and process vendor payments.
• Maintain and update records of material usage and consumption.
• Possess knowledge of shipping and freight forwarding procedures.
• Perform any other duties assigned within the procurement function.

Requirements:

• Diploma in Purchasing or a related field.
• Minimum of 2 years’ relevant experience.
• Familiarity with construction or building materials/products.
