Job Summary

The Personal Assistant (PA) to the Director provides high-level administrative and executive support to ensure the smooth and efficient management of the Director’s daily operations and priorities. This role requires strong discretion, exceptional organisational skills, and the ability to anticipate needs while managing a fast-paced and dynamic workload.

Key Responsibilities

• Manage calendars, schedule appointments, and coordinate meetings.

• Handle emails, phone calls, and correspondence on behalf of CEO.

• Prepare documents, reports, presentations, and meeting materials.

• Organise travel arrangements, accommodation, and itineraries.

• Support the CEO in tracking projects, deadlines, action items, and follow-ups across departments.

• Handle basic office administration such as procurement, logistics, and vendor coordination.

• Liaise with internal departments and external stakeholders professionally.

• Handle confidential and sensitive information with the highest level of discretion.

• Any adhoc duties required by the CEO

Requirements

• Degree or equivalent experience in business administration or related field.

• Class 3 Divers license required.

• Strong organisational skills with the ability to multitask and prioritise.

• Fluent in Mandarin. Excellent verbal and written communication skills.

• Singaporean Citizen.

• High level of professionalism, discretion, and integrity.

Responsibilities:

• Maintain service items inventory control and order parts
• Preparation and coordination IT Engineers schedules for on-site/ outsource/ inhouse projects & backfills purpose on daily basis
• Liaising with Sales Dept & IT Dept closely on after sales matters
• Handle incoming calls and enquires from corporate customers
• Answer email correspondence in a prompt and efficient manner
• Maintain proper records for billing purpose
• Maintain neat and timely update on the service form inputs to our system
• Preferably with IT knowledge
• Any ad hoc requirements by the Manager

Requirements:

• Minimum Diploma or Certificate in IT/Computer or related studies
• Preferably with at least 1-2 Years of working experience in related field
• Good communication skills and able to work independently

• Strong phone presence, interpersonal & customer service oriented
• Enjoying interacting and communicating with people, and maintain good rapport with our in-house dept, suppliers and end-users

Executive & Strategic Support

• Provide comprehensive executive-level secretarial and administrative support to the Chairman & CEO, ensuring seamless coordination of business priorities and daily operations.

• Manage and prioritize communications, including screening and handling emails, scheduling appointments, and coordinating meeting agendas.

• Prepare high-quality reports, presentations, correspondence, and executive documents for internal and external engagements.

Calendar & Meeting Management

• Organize and coordinate internal and external meetings, ensuring effective time management and alignment with strategic objectives.

• Prepare briefing materials and follow-up documentation to support decision-making processes.

Travel & Logistics Coordination

• Manage end-to-end travel arrangements, including flight bookings, hotel accommodations, transportation, and visa applications.

• Ensure travel itineraries are efficiently planned and aligned with business requirements.

Business & Operational Support

• Assist with follow-up on sales enquiries and business correspondence via email.

• Support business development initiatives, including travel where necessary to explore potential opportunities.

• Attend to assigned personal matters of the Chairman & CEO in a professional and confidential manner.

• Perform additional duties as directed, maintaining discretion, integrity, and confidentiality at all times.

Requirements

• Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s, or Postgraduate Degree in Business Administration, Management, Marketing, Secretarial Studies, or a related discipline.

• Minimum 5 years of experience in a similar executive support role, preferably within the construction or related industry.

• Strong interpersonal and communication skills with the ability to interact confidently at senior management level.

• Highly organized, detail-oriented, proactive, and able to work independently with minimal supervision.

• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

• Demonstrated ability to maintain confidentiality and exercise sound judgment.

• Comfortable working in a fast-paced, dynamic environment.

• Willingness to relocate to the West area (near Gul Circle MRT).
