Responsibilities

· Organizing and filing of technical documents and correspondence with internal and external customers for all document transmitted

· Control the issuance and submission of documents to Clients and ensure that timelines are duly met

· Effectively keep track and manage the flow of documentations

· Maintain confidentiality around sensitive information

· Maintain list of documents and ensure that the documentation is in good order and as per Project Quality Plan (PQP)

· File, record and maintain documents in both electronic and physical copies

· Contribute to compilation of final project dossiers, as built portfolios and archiving

· Monitoring and Updating EDCL (Engineering Document Control List) to ensure all the drawings/documents status are in latest condition Produce exception reports on late documentation for management review

· Co-ordinating drawings/documents flow between site and main office in Singapore

· Preparing in Mechanical Catalogues for submission to client

· Other general administrative tasks as assigned by Reporting Supervisor or Project Manager

Requirements

· · ITE, GCE O Level or Diploma in Engineering preferred but those with relevant working experience

· · At least 1-2 years’ experience in working as Document Controller

· · Meticulous and proficient in MS office

· · Basic analytical experience

· · Proficient typing skills, good verbal and written communication skills

· · Data organization and storage knowledge

Key Responsibilities

• Manage and maintain the Director’s calendar, including scheduling meetings and appointments
• Coordinate internal and external meetings, including preparing agendas and minutes
• Handle correspondence (emails, calls, letters) on behalf of the Director
• Prepare reports, presentations, and documents as required
• Act as a liaison between the Director and internal teams, clients, and external stakeholders
• Follow up on tasks, deadlines, and action items
• Arrange business travel, including flights, accommodation, visas, and itineraries
• Handle sensitive information with a high level of confidentiality
• Maintain organized filing systems (both electronic and physical)
• Assist with personal matters when required (e.g., appointments, errands)
• Support event planning, meetings, and company functions
• Provide driving support for the Director, including attending meetings, site visits, and airport transfers
• Accompany the Director on local and overseas business trips when required
• Perform any other ad hoc duties as assigned by the Director

Requirements & Qualifications

• Diploma or Degree in Business Administration or related field
• Proven experience as a Personal Assistant / Executive Assistant, preferably supporting senior management
• Excellent organizational and time management skills
• Strong written and verbal communication skills
• High level of discretion and professionalism
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Ability to multitask and work under pressure
• Willing and able to travel for business trips as required
• Possess a valid Singapore Class 3 driving licence with a clean driving record and able to drive the Director when required
