Job Description & Requirements

1. Clinical Management

Manage a caseload of routine and standard cases with proficiency and independence through the following:

• Assess, develop, plan, and implement occupational therapy interventions to clients with physical, functional, or mobility difficulties in accordance with programme approach, framework, and SOPs.
• Be part of the collaborative team to work with clients on a one-to-one basis, group, or special setting based on programme requirements and client levels of functioning.
• Monitor clients’ occupational therapy progress, evaluate intervention effectiveness, and review clients’ occupational therapy needs in accordance with programme requirements.
• Provide occupational therapy consultation, support and update on the clients' progress and status to caregivers and all those involved in the client care team.
• Refer clients to respective specialists (e.g., other therapists, psychologists, neurologists, doctors, etc.) for consultation and further treatment or training as and when necessary.
• Conduct home/school/workplace visits when necessary.
• Provide occupational therapy related training on relevant platforms when required.

2. Clinical Administration

• Participate in departmental administrative duties and operational processes to support service delivery.
• Ensure timely documentation of clinical records for all cases and timely reporting in accordance with organisational and regulatory requirements.
• Contribute to service quality assurance initiatives, including audits, risk identification, and incident reporting.
• Maintain inventory of therapy equipment and resources for the programme.

3. Clinical Teaching and Supervision

• Develop creative concepts, event themes, and proposal presentations tailored to client requirements.
• Work closely with the design team to transform ideas into compelling event experiences and environments.
• Contribute ideas that enhance guest engagement, brand storytelling, and overall event impact.

Coordination & Operations

• Lead coordination between internal departments, including creative, production, procurement, and operations teams.
• Ensure all deliverables are aligned with client expectations, budgets, and project timelines.
• Coordinate logistics and operational requirements to ensure smooth event execution.

Vendor & Stakeholder Management

• Source, negotiate, and manage external vendors and service providers, including fabrication partners, caterers, audiovisual suppliers, entertainers, and venue operators.
• Identify sponsorship opportunities and support sponsorship acquisition efforts where required.
• Manage supplier relationships to ensure quality, reliability, and cost efficiency.

Budget & Reporting

• Prepare and manage project budgets, quotations, and profitability.
• Monitor project expenditures and ensure financial targets are achieved.
• Conduct post-event evaluations, gather feedback, analyse performance metrics, and identify areas for improvement.

Marketing & Business Development

• Support the development of event case studies, social media content, and project documentation.
• Identify opportunities to expand client relationships through additional services and future projects.
• Contribute to business growth by actively supporting new opportunities and proposals.

Requirements

• Diploma or Degree in Events Management, Marketing, Communications, or a related field.
• Minimum 2 years of relevant experience in event management, activation, exhibitions, live productions, or a similar industry.
• Strong communication, organisational, and project management skills.
• Comfortable managing multiple projects and deadlines simultaneously.
• Knowledge of event production, logistics, and on-site event operations.
• Proficient in Microsoft Office (Word, Excel, PowerPoint) and Canva.
• Possesses an interest in AI technologies and is willing to explore and leverage AI tools to improve productivity, creativity, and work efficiency.
• Experience or knowledge in managing social media platforms and content creation will be an advantage.
• Resourceful problem-solver with the ability to remain calm and make sound decisions under pressure.
• Able to work effectively in a high-stress, fast-paced environment, especially during peak event periods and project deadlines.

To provide administrative support, feedback, data collection and evaluation of Take-a-Break programme.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Administration & Operations

• Responsible to programme head and division director in all matters pertaining to the administration and streamlining of TAB.

• Handle all Information & Enquiries and conduct assessment to recommend outcome of a referral to TAB as a core responsibility

• Update and manage dashboards

• Suggest practices for the efficient and effective operation and management of services and assist in implementing those policies and practices.

• Responsible for achieving key performance indicators in the client reach, outcomes and impact. This includes completion of progress reports and assisting in data collation, or analysis for planning and reporting purposes in a timely manner.

• Collaborate with and respond to funder on any queries on TAB programme cases.

• Provide administrative support and coverage to other TAB colleagues.

Service Management

• Triage, manage and deploy respite service providers, as relevant to the needs of the clients and caregivers / families.

• Manage working relationship with key stakeholders etc such as mediating between social workers (applying on behalf of clients / caregivers) and service providers

• Find out the needs of the clients/caregivers in the area and collate the data

• Collaborate with funder and appointed service providers to identify service pain points and work towards solutioning.

Networking & Professional Matters

• Network, participate and contribute professionally through work with relevant professionals and stakeholders that involves TAB programme.

• Represent TAB to undertake outreach efforts to referral agencies, community organisations and any other relevant agencies

• Supervise TAB colleagues that may include social worker, programme assistant and social work associate and work with caregivers/clients to offer services to the clients.

• Any other duties as may be assigned from time to time.

JOB HOLDER REQUIREMENT

• A diploma or degree in any discipline related to social sciences or related disciplines

• At least 3 years of relevant working experience in administrative work or managing programmes for people with disabilities. Experience in social service sector preferred.

• Analytical, flexible, resilient and ability to see different perspectives and draw connections

• Confident as an independent worker and a team player

• Good interpersonal skills
