Overview
The Facility Executive is to coordinate the facilities support requirements across the whole campus, reporting to the Facilities Manager, and ensuring all facilities-related administration and documentation are handled effectively.

General responsibilities and duties
1. To assist the Facilities Manager in managing all the facilities related administration and documentation, including, but not limited to:

• Ensuring procurements are carried out in accordance with school policy;
• Monitoring of Facilities Contracts and filing of all relevant documents;
• Tracking and management of Fixed Facilities Assets;
• Liaising with government bodies such as NEA, PUB, BCA, etc. to ensure timely application/renewal of all facilities licenses and requirements.
• Liaising with vendors to ensure timely payment and receiving of goods.
• Monitoring of facility booking systems for events.

2. To support the Facilities Manager in coordinating the facilities support requirements across the whole school..

3. As part of the facilities team, to enhance the team’s capabilities and capacities to:

• Provide facilities support for multiple and concurrent school events;
• Manage all room and office facilities fitting requirements for new and A&A building projects;
• Manage adhoc renovation requirements;
• Perform adhoc local procurements;
• Support the PSG’s requests and requirements.

4. To manage and develop the school's facilities rental system, with the following main responsibilities and job scope:

• Be the single POC for all requests to rent or use the school facilities, both internally and externally.
• Verify the Who, Want, Where, When, Why of all requests to rent or use the school's facilities, beyond those that are part of the schools' curriculum. 
• Perform an initial check to ensure that the requested use of the school's facilities does not clash with any internal bookings, which should be accorded with higher priority. 
• Make a recommendation and check with the COO whether the request could be supported.  COO to confirm with ELT if need be.
• Upon confirmation of supportability and rental rates, draft the rental contract and Terms and Conditions document for approval by COO.
• Send approved rental contract and Terms and Conditions to requester for confirmation and acceptance. 
• Upon acceptance by the requester, do a tentative reservation of the requested facilities and liaise with the Finance Office to send invoice to the requester for payment, and ensure that full payment is made before the deadline.
• Upon full payment, confirm the booking of facilities and coordinate with the requester for ground recce of the facilities and support requirements.
• Ensure that the requester submit the detailed list of personnel and vehicle accessing the school and forward this to the Admin Manager and Security Supervisors, at least 3 days before the date of usage.
• Send a weekly reminder to the security office prior to the weekend on all approved usage of facilities.
• Follow up with the requester should there be issues with regard to the rental or usage of facilities, such as damages or cancellation due to inclement weather.
• For repeated bookings, ensure that this is done on a monthly basis upon confirmation of the school's own requirements, and liaise with the Finance Office to ensure timely billing. For example, to monitor the usage of the football fields by SMSA and advise the Finance Office on the amount of overtime security staff support to bill.
• Compile a bi-annual report of the facilities rental income. 
• Regularly review the system of facilities bookings and rental with aim to improve the efficiency of the process.  

5. Any other duty as assigned by the COO/Facilities Manager.

Duties

●     Lead in the delivery of counselling services in a multicultural setting, including early identification and evaluation of students with social-emotional needs.

●     Demonstrate knowledge and understanding of the differing perceptions of educational and socio-emotional wellbeing needs in an international context.

●     Lead in the department's engagement with parents, pupils and staff in a culturally sensitive way which reflects this understanding.

●      Be a leading member of the school community by participating in schoolevents, promoting shared priorities, and contributing to the ongoing development of a positive school culture.

●      Promote and encourage the Le Sallian ethos throughout the school by raising awareness, facilitating training and working collaboratively with staff.

○       Make recommendations about individual children’s needs

○       Effectively communicate counselling planning,provision and outcomes

○       Foster a close working relationship with all members of the team around the child

○       Monitor and review the child’s progress suggesting possible amendments to the programme, and making further recommendations.

●      Establish relationships, maintain contact and make referrals, where appropriate, to outside agencies.in SIngapore and overseas.

●      Lead and assist in conducting professional development  training for staff as appropriate.

●      Arranging psycho educational talks and workshops for parents on matters related to children’s learning, mental health,social and emotional development and wellbeing.

●      Establishing and maintaining information onschools overseas that welcome and cater for children with Social, Emotional and Wellbeing issues.

●      Keeping up to date with research and developments in the field of educational counselling and informing the Management Team accordingly.

●      Attending appropriate meetings of the Management Team advising on all matters concerning children with social and emotional needs.

●      Advising in the development of a whole school policy concerned with Mental Health and Wellbeing.

●      Support the CPD Leader in leading and managingthe continuous professional development of staff which reflects both the needs of the individual and the school in order to drive improvement.

●      Attending network events and meetings within Singapore and online internationally a view to keep abreast of the current school counselling climate across international schools in Singapore and overseas.

●      Fully support the schools safeguarding policy and know the reporting procedures to follow in case of a Child Protection issue.

●      Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead and update CPOMs in line withschool policy.

Required Qualifications and experience:

Overall Purpose:

To support the EAL department in our mission: to support students socially, emotionally and academically to help them to achieve their potential as learners and to participate fully in school life.

Specific Responsibilities:

● To provide support and interventions for children, individually or in small groups, as directed by the EAL Coordinator.

● To plan a programme of support with the guidance of the EAL coordinator to agreed deadlines and in agreed formats.

● To regularly liaise with Head of Grades, Head of Faculties, Head of Departments, teaching staff and Homeroom teachers regarding the support and interventions provided.

● To help with differentiating lesson content and instruction, as well as the scaffolding of tasks

● To liaise with and facilitate staff training to promote capacity of technical and academic language and current EAL trends .

● Add relevant observations and strategies used to the individual EAL learner profiles in the EAL registry

● Feed knowledge of EAL learners’ understanding of key concepts into the teacher’s assessment and planning where appropriate

● To develop and maintain a good home-school partnership with the guidance of the EAL coordinator; to consult with and inform parents of the progress, attainment and attitudes of pupils.

General Responsibilities:

● To assist teachers with the well-being and safety of High School students.
