JOB RESPONSIBLILITY:

• Coordinate export order processing between overseas customer and the factory to ensure smooth production and shipment flow.
• Prepare and issue delivery instructions (DI/DO) to relevant production and warehouse teams for timely delivery.
• Liaise with forwarding agents, logistics providers, and shipping companies to arrange export shipments and ensure accurate documentation.
• Monitor daily sales orders, shipment schedules, and delivery status to ensure on-time delivery (OTD) performance.
• Prepare and verify export documents such as Delivery Notes, Invoices, Packing Lists, Certificates of Origin, and other necessary shipping documents.
• Communicate with Japanese customers using basic Japanese (email/WhstsApp) when required; assist internal teams with simple translation.
• Track and update export shipment records, lead time, and logistics performance indicators.
• Coordinate with internal departments (production, QA, warehouse, planning) to resolve export-related issues.

JOB REQUIREMENTS:

• Candidate must possess at least a Diploma in Logistics / Supply Chain / Business Studies, or equivalent.
• Japanese language literacy (JLPT N4) is an added advantage – able to readd simple emails, handle basic communication, and understand basic Japanese terms.
• Minimum 1 year of working experience in export, shipping, logistics, or supply chain functions.
• Proficient in Microsoft Office (Excel, Word, Outlook)
• Strong coordination skills, attention to detail, and ability to work under time pressure.
• Good communication skills and a positive working attitude.
• Ability to multitask and manage multiple shipments at once.

Key Responsibilities

• Prepare and issue customer Delivery Orders (DO), invoices, and credit notes.
• Verify that goods loaded onto delivery vehicles match the corresponding Delivery Orders.
• Handle incoming phone calls, emails, and customer inquiries in a professional and timely manner.
• Investigate and report discrepancies between system inventory records and physical stock counts.
• Prepare and monitor customer Statements of Account (SOA), and follow up on outstanding payments.
• Process petty cash claims, staff reimbursement claims, and utility payments.
• Liaise with external parties, including auditors, tax agents, company secretaries, and bankers.
• Maintain accurate filing and documentation of administrative and accounting records.
• Assist with general administrative and accounting duties as required.
• Perform any other ad hoc duties assigned by the superior or management.

Qualifications & experience

• Familiar with Autocount accounting software will be an advantage.
• Experience in trading business environment is preferred.
• Proficient in Mandarin, English and Bahasa Malaysia.
• Able to start work immediately or with short notice will be an advantage.

Tugas & tanggungjawab

Tanggungjawab Kewangan & Perakaunan

• Mengendalikan set lengkap akaun, termasuk Akaun Belum Bayar (AP), Akaun Belum Terima (AR), Lejar Am (GL) dan penyelarasan bank.
• Mengurus dan memproses e-Invois mengikut keperluan LHDN.
• Pantau akaun pelanggan dan susulan baki tertunggak, dan sediakan laporan penuaan AR mingguan.
• Sediakan dan siarkan entri perakaunan, jurnal dan jadual sokongan dengan tepat dan tepat pada masanya.
• Menyediakan tuntutan wang runcit, tuntutan kakitangan dan bayaran utiliti.
• Menguruskan kemudahan bank, hal ehwal perbankan dan pembayaran luar negara.
• Menyokong keseluruhan operasi dan transaksi Kewangan dan Perakaunan.
• Bertanggungjawab untuk penutupan akaun pengurusan akhir bulan dan akhir tahun yang tepat dan tepat pada masanya.
• Menyediakan laporan kewangan bulanan.
• Berhubung dengan pihak luar termasuk juruaudit, ejen cukai, setiausaha syarikat dan pegawai bank.

• Memproses gaji bulanan, termasuk kerja lebih masa, elaun dan potongan cuti tanpa gaji
