Climate change is the defining challenge of this century, and healthcare is both a victim of climate change and a major contributor to it. The Centre for Sustainable Medicine (CoSM) at the National University of Singapore works at the frontier of policy, clinical systems, and global health to accelerate the transition to low-carbon, climate-resilient health systems across Asia and worldwide.

Purpose of the Post

We invite applications from a dynamic, experienced professional to help advance CoSM’s research priorities and to strengthen the real-world uptake of the Centre’s work.

The postholder will work across the Centre’s major workstreams - including health system carbon analytics, clinical transformation, and capacity building - ensuring that research and technical evidence are synthesised, interpreted, and translated into decision-ready outputs for policymakers, health system leaders, clinicians, partners, and other stakeholders.

This is a cross-cutting role at the interface of research, policy, and implementation. Key Responsibilities and Roles

1. Research synthesis, analysis, and translation

• Contribute to the development of research outputs, including reports, peer-reviewed publications, technical analyses, and policy papers.
• Support the analysis and interpretation of research findings from CoSM projects, including emissions baselines, adaptation and mitigation strategies, health system analytics, and education initiatives.
• Translate research outputs into clear and actionable products for policy and practice, including policy briefs, executive summaries, technical guidance, and knowledge products.

• Prepare high-quality briefing materials, concept notes, slide decks, summary papers, and dissemination products for international events, multilateral engagements, and senior partner discussions.

Qualifications

Job Description

We are seeking a highly organised and proactive Senior Executive to provide end-to-end administrative, scheduling, conference logistics, and communications support to the Programme Chair (PC) of Healthy Longevity Translational Research Programme. The role requires strong ownership, excellent coordination skills, and the ability to manage multiple priorities with discretion and accuracy.

Key Responsibilities

A) Scheduling & Meeting Logistics

• Coordinate and manage the PC’s meetings, appointments and calls, including scheduling/rescheduling across multiple stakeholders while factoring priorities, travel time, meeting purpose, and attendees’ preferences.
• Take ownership to ensure meetings run smoothly by independently identifying required actions and executing them (e.g., sending Zoom links, venue booking, transport arrangements, meeting room setup, A/V coordination, and guest reception when needed).
• Maintain and update the PC’s calendar accurately, ensuring there are no conflicts or double bookings.
• Triage and prioritise emails, flag urgent items, maintain a record of key email threads, and recommend timely follow-ups.

B) Conferences & Event Support

• Support conference/seminar/workshop registrations and related administrative requirements.
• Assist with abstract submission (including proposing presentation titles and abstracts), required documentation, and coordination with event hosts/organisers.
• Manage travel arrangements (flights, accommodation, transfers, visas where required) in accordance with preferences and budget constraints, including liaising with NUS-appointed travel agents for itineraries/quotations, raising travel requests in NUS Concur, securing approvals, and following through on ticket issuance.
• Prepare, submit, and track financial claims and reimbursements for travel and other work-related expenses.

C) Communication & Outreach Support

• Respond to basic enquiries from students, collaborators, and external parties on behalf of the PC when appropriate.
• Assist in preparing reports/proposals, meeting papers, presentation slides, speeches, and other communication materials.
• Support the PC in organising meeting minutes, analysing data, and synthesising useful information to strengthen the programme’s research relevance, international visibility, and public image (including engagement with prospective donors and partner universities).

• Bachelor’s degree (or higher), preferably with relevant experience supporting senior management.

Job purpose

The Admin Officer serves as the administrative anchor for the Telok Blangah Centre. The role is responsible for end-to-end coordination of referrals, admissions, billing, reporting, and service operations, ensuring smooth centre functioning and freeing Social Workers to focus on direct clinical and casework responsibilities.
The role also provides frontline administrative support and is comfortable engaging seniors and caregivers as part of service delivery.

Key responsibilities

1. Administrative & Referral Management

Referrals and Intake Coordination

Manage BRIGHT referrals, including:

• Processing referrals
• Updating BRIGHT status from assignment to discharge
• Preparing CARES client profiles
• Scheduling intake (Day Care) and Initial Assessment (Home Therapy) and providing brief system updates
• Updating BRIGHT progress notes and liaising with AIC officers where required
• Supporting social workers in simple Financial Assistance (FA) documentation and submissions, financial deviations

Registration and Admission

Manage CARES admission and data entry, including:

• Service Agreements (Sharing with seniors and signing of agreements), other required forms
• Coordinate client registrations
• Coordinate deposit collection and NRIC documentation
• Flag follow-up needs for Social Work support

Care Plan (ICP) / MDT Support

• Provide documentation and administrative support to Social Workers for MDT processes and conduct simple questionnaires where required (with training)
• Support discharge processes and financial billing and invoicing matters
• Any other assigned matters related to administration and documentation, day to day operations

Qualifications and Skills Required

• Diploma in Social Services, Community Services, Healthcare Administration, Business Administration, or related fields
• Minimum 2 years' experience in social service agencies, healthcare, community care or other related social service settings
• Experience managing end-to-end administrative processes
• Must be comfortable working with seniors and communicating/coordinating with them, asking simple questions to engage seniors and to fill up forms jointly with seniors
• Must bec passionate in working with the elderly
• Ability to work with a multi-disciplinary team consisting of Social Workers, OT/PT, Nurses, etc
