The Purchasing cum Admin Assistant is responsible for supporting the company's procurement and administrative functions to ensure smooth daily operations. This role involves sourcing and purchasing goods and services, coordinating with suppliers, and providing general administrative support to various departments.
The position plays an important role in ensuring timely procurement, cost control, and efficient office administration.
Key Job Responsibilities
1. Purchasing & Procurement
Prepare Purchase Orders (POs) in accordance with company procedures.
Source and obtain quotations from suppliers for products, materials, and services.
Compare supplier pricing, lead times, and product specifications to support cost-effective purchasing decisions.
Liaise with suppliers regarding order placement, delivery schedules, product availability, and pricing.
Verify purchase-related documents, including quotations, purchase orders, delivery orders, invoices, and credit notes.
Coordinate with relevant departments to ensure goods received match purchase orders and required specifications.
Assist in resolving discrepancies related to quantity shortages, damaged goods, pricing issues, or delivery delays.
Maintain and update supplier databases, purchasing records, and procurement documentation.
Source for alternative suppliers and support supplier performance evaluations when required.
2. Administrative Support
Maintain and organize company records, files, contracts, and administrative documents.
Manage office supplies and coordinate replenishment to ensure adequate stock levels.
Coordinate courier services, office maintenance, repairs, and general office administration matters.
Support company events and internal administrative activities.
Assist in monitoring inventory levels of office supplies and operational materials.
3. Compliance & Continuous Improvement
Ensure all purchasing and administrative activities comply with company policies and procedures.
Maintain confidentiality of company information and supplier agreements.
Identify opportunities to improve procurement efficiency, administrative processes, and cost savings.
Perform any other duties and special projects assigned by management from time to time.
Requirements:
Minimum SPM/Diploma or equivalent recognized qualification.
At least 1 year of experience working in an administrative role.
Proficient in Microsoft Word and Excel to prepare and manage project documents and reports.
Ability to work independently and meet targets in a fast-paced environment while contributing effectively as part of a team.
Proficient in using Wechat and Taobao as part of the sourcing tools.
Organized and detail-oriented with the ability to multitask, prioritize, and meet deadlines consistently.

RESPONSIBILITIES:
Maintaining customer's focus at all times and answering to customer's enquiries using the standard guidelines.
Ensure booking and cargo planning of shipments are in compliance to customers & followed process
Able to Handle Air / Sea Outbound LCL/FCL/Nomination Shipments.
Liaise With carriers to ensure accurate data on shipments & timely submission of SI to carriers.
Able to establish a productive & effective working relationship with internal & external customers.
Ability to anticipate & identify problem. Analyses problem systematically and resolve problem with effective solutions or alternatives.
Support and work closely with fellow team members to ensure the smooth flow and timely executive of our customer’s supply chain.
Arranging and coordinating for transportation / trucking / haulage.
Follow up with agent and consignee for the incoming shipments and ensure shipment moving smoothly.
Handling and preparation of shipping documents (e.g.: delivery order / bill of lading, tax invoice, arrival notice.
EDUCATION/ EXPERIENCE/ SKILL REQUIREMENT:
Candidate must possess at least SPM, Diploma or Advanced / Higher/ Fresh Graduate, Diploma in Marketing, Logistic / transportation or equivalent.
At least 2-3 years (s) of working experience in shipping & forwarding industries, especially Freight Forwarding.
Required skill(s): Strong verbal communication and presentation skills, self-disciplines, computer literate, presentation preparation and report.
Good command in English, Mandarin & Malay speaking (both written and oral)

Kemahiran yang diperlukan: Kemahiran komunikasi lisan dan pembentangan yang kuat, disiplin kendiri, celik komputer, persediaan pembentangan dan laporan.
Penguasaan yang baik dalam Bahasa Inggeris, Mandarin & Bahasa Melayu (kedua-dua penulisan dan lisan)

Carry out electrical wiring works including cable pulling, cable trunking, conduit installation, and termination
Install and wire electrical components such as switches, circuit breaker panels, and distribution systems
Perform wiring connections ensuring proper system compatibility, safety, and functionality
Read and interpret electrical drawings, wiring schematics, and control diagrams
Assist in installation, testing, commissioning, troubleshooting, and maintenance of electrical systems and control panels
Support engineers during inspection, rectification, and site coordination work
Ensure all electrical works comply with safety regulations, project specifications, and quality standards
* Maintain tools, equipment, and ensure good housekeeping at work sites
Job Requirements
Minimum 2 years of experience in electrical wiring, panel wiring, or industrial site installation
Certificate, Diploma, or equivalent qualification in Electrical Engineering or related field
Able to read and understand electrical drawings, control diagrams, and wiring schematics
Responsible, disciplined, and able to work independently as well as in a team
Good attitude, teamwork, and communication skills
Familiarity with industrial electrical systems or automation-related work is an added advantage
Committed to safety, quality, and proper documentation
Willing to work on-site at buildings, factories, plants, or customer locations
Perform ad-hoc technical duties as assigned by supervisor or management

Manage project execution at site for electrical & ELV distribution system.
Ensure works are executed in accordance with approved specification, procedures and requirements
Liase with sub-contractor, attend site inspection, and resolve site technical issues.
Coordinate with sub-contractors for site survey, site activities, and claim certification.
Good English and Bahasa Malaysia both in writing and communication
Good organizational, time management, leadership, and decision making skills
Good project management and supervision skills
