About the Role
This role sits at the heart of leasing operations, supporting the full lease lifecycle and ensuring seamless coordination across documentation, systems, and tenant engagement. You will play a key role in maintaining operational accuracy, regulatory compliance, and high service standards across a premium office portfolio.

Key Responsibilities
Lease Administration & Documentation
You will manage end-to-end lease administration processes—from due diligence checks (e.g., AML and company searches) to preparation, execution, and tracking of lease agreements. This includes coordinating with legal parties, ensuring proper documentation, and maintaining organised records in line with internal SOPs. You will also ensure accurate and timely updates of leasing data within internal systems.
Leasing Operations Support
You will support leasing activities by coordinating property viewings, managing calendars, and responding to enquiries. This includes maintaining vacancy listings, distributing updates to agents, and assisting with space planning inputs such as unit subdivision calculations.
Tenant & Portfolio Administration
You will act as a key point of coordination for tenant-related matters, including onboarding support, maintaining tenant records, and ensuring compliance with requirements such as insurance documentation. You will also support tenant engagement initiatives and day-to-day administrative needs.
Arrears & Financial Coordination
Working closely with internal teams, you will monitor rental arrears and follow up with tenants in a timely and professional manner, ensuring adherence to internal processes.
Regulatory Compliance & Reporting
You will support compliance-related matters such as property tax administration, regulatory submissions, and occupancy reporting to relevant authorities. This includes tracking deadlines, preparing documentation, and ensuring accuracy in submissions.
Procurement & Systems Management
You will assist with procurement processes, including raising purchase requests and invoice processing, while ensuring databases and contact records are consistently updated and maintained.
What We’re Looking For
- 1–2 years of experience in administration, leasing operations, or property-related roles
- Diploma or Degree in Real Estate, Business Administration, or a related discipline
- Strong proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with tools like Pivot Tables, mail merge, or basic automation is advantageous
- Detail-oriented with strong organisational and follow-through skills
- Able to manage multiple tasks and meet deadlines in a structured environment
- Strong interpersonal skills with a professional and service-oriented approach
