We are looking for a motivated, people-oriented Part-Time Recruitment & Admin Assistant to join our team. Your primary priority will be driving our hiring efforts through recruitment calls, sourcing, and candidate coordination. Additionally, you will provide vital on-site support at our office early in the week.

This is a dynamic role perfect for someone who is highly organised, loves connecting with people, and enjoys a mix of recruitment and hands-on administrative tasks.

Schedule & Flexibility

• In-Office (Required): Monday and Tuesday (to assist with on-site shoots, meetings, and team collaboration).

• Work From Home (WFH): Wednesday through Friday (focused primarily on recruitment outreach and tracking).

• Hours: 20–25 hours per week.

Key Responsibilities

Recruitment & Sourcing (Primary Priority):

• Conduct initial screening calls to assess candidate fit and excitement for open roles.

• Source active and passive candidates through various online channels and job boards.

• Manage, update, and optimize active job postings.

• Coordinate interview schedules and follow up with candidates to ensure a positive experience.

• Maintain accurate recruitment trackers and candidate databases.

Administrative & On-Site Support (Mondays/Tuesdays):

• Meeting Minutes: Attend key Monday team meetings to take minutes.

• Photo Shoot Assistance: Help set up and assist with basic company photo/media shoots on-site.

• Provide general administrative support to the team as needed during in-office days.

Qualifications & Skills

• Excellent verbal and written communication skills (a confident and friendly phone presence is a must).

• Strong organisational skills with a sharp eye for detail.

• Ability to work independently from home and collaborate energetically in person.

• Prior experience in recruitment, HR, or a fast-paced administrative role is a plus.

• Basic comfort or interest in photography/creative environments is preferred but not required.

Primary Function of Position
 The Recruiter is a critical driver of Intuitive continued growth and success in the medical
robotics field. The Recruiter will partner closely with leadership teams and HR to drive
successful hiring processes for current and future job openings for the company. This
person is responsible for sourcing and end to end recruiting for a variety of positions, that
includes senior and executive positions across APAC Region.

Essential Job Duties
 This position reports directly to the Head of Talent Acquisition APAC and will be dedicated to
recruiting for a variety of current and future openings in the Malaysia Market, that includes
Manufacturing, Corporate, Operations, including Senior/Executive Level Positions. You will
work with business executives, leaders, hiring managers, sourcing recruiters, finance, & HR
Partners to meet hiring plans. The Recruiter is a critical driver of Intuitive’s continued growth
and success in the medical robotics field.
 Work as a talent advisor with hiring managers regarding the recruiting process.
 Partner with hiring manager to understand key requirements and develop strategies in
partnership with the sourcing team to enable strong candidate flow.
 Develop and implement sources for applicants using networking, internet sourcing,
employee referral programs, job fairs, trade fairs, associations, etc.
 Identify passive job seekers using a full range of recruitment search tactics.
 Proactively Source and Screen candidates for position and company fit.
 Drive timely execution of direct sourcing and screening process.
 Build strong relationships with hiring managers to ensure a smooth recruiting process
and consult with them regarding staffing best practices, trends, issues and challenges.
 Provide talent availability heat maps to help guide hiring manager during recruiting
strategy meeting.
 Maintain accurate and thorough records of all recruiting in the ATS for the purpose of
government reporting and resource analysis.
 Be an active participant in driving continuous improvement initiatives within the Staffing
team.
 Mentor others, demonstrate interpersonal awareness, encourages excellence, leverage
and value diversity, and foster collaboration.
 Understand, analyze, and present data associated with hiring process.
 Develop collaborative partnerships with HRBPs, Finance, business leaders and other key
stakeholders.
 Keep abreast of industry and market trends and benchmark other organizations on best
practices to ensure the most effective tools and resources are being utilized.

Work Schedule

Monday to Saturday: 10am to 5pm (3 days a week, must work on Saturday)

JOB PURPOSE

The Tele-recruiter is the vital frontline voice of the National Blood Programme. You play a critical, life-saving role in maintaining national blood stock levels by proactively reaching out to donors, booking appointments, recalling donors during critical shortages, and delivering an exceptional, informative experience to every donor you speak with.

PRINCIPAL ACCOUNTABILITIES

1. Tele-Recruitment & Enquiries: Conduct high-volume outbound calls to recall lapsed donors and drive appointment bookings. Professionally handle inbound calls, assisting donors with eligibility criteria and general enquiries.

2. Donor Recognition Support: Proactively call milestone donors regarding upcoming recognition events or merchandise. On an ad-hoc basis, act as a frontline ambassador by conducting face-to-face merchandise handovers at Red Cross House.

3. Data Management & Reporting: Ensure accurate and timely data entry of donor call logs, appointments, and deferrals into the donor portal, and compile these metrics for the daily operational report.

JOB SPECIFICATION
Qualifications:

• GCE 'O' Level, NITEC, or equivalent. Current students and retirees are highly encouraged to apply.

Required Experience, Skills, And Knowledge:

• Communication: Exceptional verbal skills to engage diverse communities. The ability to speak conversational Mandarin, Malay, or Tamil is a strong added advantage.

• Resilience: Comfortable handling high-volume outbound calls, managing objections, and adapting to fast-paced priority shifts during national blood shortages.

• Professionalism: Maintains a warm, polished demeanour for both phone-based recruitment and ad-hoc face-to-face interactions.

• Technical & Admin: Proficient in basic computer functions, navigating donor portals, and detail-oriented data entry.

• Availability: Willingness to work on Saturdays to conduct weekend tele-recruitment and drive appointment bookings via phone.

Note: Previous experience in customer service, call centres, or administrative support is an added advantage.

Qualifications:  

·       3  years and above of sourcing and recruiting experience. Experience recruiting semiconductor talent considered a very strong advantage.  

·        Advanced sourcing skills with both active and passive candidates, as well as in-depth knowledgeof offer negotiation and closing tactics  

·        Results-oriented with demonstrated strategic thinking, innovation, and flexibility in dealing with changing and/or ambiguous situations  

·        Excellent organizational skills and attention to detail  

·       Demonstrated capacity to communicate effectively and proactively both verbally and written  

Education:  

·        BA/BS degree or equivalent experience in Business,Human Resources, or related field required
