Job Responsibilities

• Responsible for sourcing, purchasing and monitor delivery.

• Prepare and process purchase orders and documents in accordance with company policies, procedures, and specifications.

• To arrange, monitor and co-ordinate both import and export shipment.

• To review, control and monitor stock inventory at an acceptable stock level, to avoid zero stock and excess stock situation.

• To follow up with QA for all the incoming material quality issues.

• Initiate and maintain effective and professional relationship with vendors.

• Structured vendor’s development and competitive procurement price by yearly price comparison for suppliers.

• Make sure reports are well prepared on time for review.

• Identify and implement process improvements to increase efficiency and accuracy.

• To undertake additional duties and tasks assigned and assume responsibilities as may be assigned by Head of Department.

Job Requirements

• Possesses a Bachelor Degree in Business or equivalent academic discipline.

• Minimum 3 years of working experience in the related field is required for this position.

• Meticulous in planning, good communication and problem solving skills.

• Computer literate with the ability to use Microsoft Office, including Words, Excel, and Power Points.

• Ability to prioritize and organize the workload effectively.

• In charge of daily operational purchasing needs such as planning, issuing and following up on Purchase Orders delivery and shipment schedules;
• Manage day-to-day Purchase Order administration and procurement activities including coordinating activities with suppliers, engineers, supervisors and liaise with all party involved in the project;
• Sourcing and purchasing of materials and related products needed for company projects as well as prepare material catalogue for submission;
• Responsible to source, negotiate and purchase materials from both local and overseas vendors;
• Evaluate vendor’s quotation and liaise with project team to ensure that they are in line with the technical and commercial specifications for the project are met;
• Advise internal and external on issues regarding purchasing Terms & Conditions.
• Resolve supply, quality, service and invoicing issues with vendors;
• Assist in ISO Annual Performance Review for vendors;

Requirements:

• Diploma in Mechanical/ Electrical Engineering or its equivalent;
• Minimum 1 year working experience in the building construction industry;
• Computer literate with good knowledge of Microsoft Office applications;
• Independent, committed, reliable, proactive and able to work under pressure to meet tight deadlines.

The Job:

• Manage incoming vessels' requisitions, quotations, placing orders, and manage records

• Liaise with vessels, makers, forwarders, and agents for timely and economical delivery

· Updates management on sub-contractor's claims status (i.e. work performed, penalties, back-charges, advances imposed on sub-contractors);

· Prepares debit notes on back-charges and/or penalties imposed on sub-contractors; follows up to ensure that such debit notes are contra against claims raised by sub-contractors;

· Assists in identifying and resolving discrepancies/errors between records of sub-contractor work completed against sub-contractor claims;

· Verifies and ensures that payment certifications issued to sub-contractors are in accordance with approved sub-contractors’ interim payment recommendations;

· Reconciliation of sub-contractors’ invoices against payment certification issued;

· Prepares accrual listing reporting on a quarterly basis (i.e. work done by sub-contractors yet to be billed);

· Works closely with external suppliers to ensure the accuracy in price and quantity for materials ordered & delivered;

· Reconciliation of delivery orders against approved purchase orders and suppliers invoices;

· Liaises and rectifies discrepancies/disputes with external supplies;

· Liaises with QS of any discrepancy in certification amount;

· Liaises with finance for payment that requires immediate attention due to site work schedule;

In this role, your main responsibilities will be:

• Provide administrative and operational support to the Trust Administration team, ensuring that client records and trust documentation are maintained accurately and in a timely manner.

• Review and draft Trust documentation, Trust minutes and corporate resolutions ensuring compliance with applicable regulatory requirements and internal policies.

• Conduct compliance and risk assessments for client onboarding and perform ongoing monitoring of client activities and transactions.

• Proactively cultivate and maintain excellent, responsive client relationships by acting as a dependable point of contact, ensuring client needs are addressed promptly, confidentially and effectively.

• Support the Trust Administration functions by competently and promptly executing the client acceptance process, ensuring the satisfactory and timely completion of all Know Your Customer (KYC) and due diligence procedures to uphold regulatory compliance and facilitate a smooth onboarding experience.

• Ensure the meticulous and proactive administration of trusts and trust assets, promptly identifying and escalating administrative issues, red flags, inconsistencies, and irregularities to senior management to safeguard client interests and assets.

• Diligently assist in carrying out the fiduciary duties of the trustee, ensuring all actions are fully compliant with relevant trust laws and trust documentation, providing clients with confidence in our service.

• Maintain comprehensive, accurate, and easily accessible record-keeping (both physical and digital) to ensure transparency and facilitate prompt retrieval for client queries or compliance reviews.

• Conduct responsive and ongoing monitoring of trust files, including but not limited to the timely updating of due diligence, transactional reviews, and monitoring of investment performance (where required), to provide clients with up-to-date information.

• Efficiently discharge duties as “B” signing authority of PTSL (where required) for bank accounts where PTSL is trustee or provides administration, ensuring timely and accurate execution of client transactions.

• Perform all work in a competent and compliant manner, strictly adhering to PTSL’s policies and procedures and the regulations and codes applicable to the private trust industry, thus delivering a secure and reliable service.

• Undertake comprehensive risk reviews for trust files in a timely and accurate manner to ensure the ongoing security and compliance of client structures.

• Ensure the timely and accurate completion of all internal checklists to maintain high standards of administrative quality and efficiency, allowing for responsive client service.

• Monitor income generated by trusts administered by you and ensure timely and accurate invoicing is completed, facilitating clear and professional financial communication with the client.

We are looking for candidates who meet the following criteria:

• Bachelor’s Degree in Law, Business Administration, Accounting, or a related field

• Experience in trust administration or corporate governance, including preparing trust and corporate documents

• Good knowledge of regulatory requirements, compliance frameworks, and anti-money laundering (AML) laws

• Proficiency in managing trust software systems and maintaining accurate records

• Excellent communication skills to liaise with stakeholders, including settlors, beneficiaries, bankers, and advisors

• Attention to detail and strong organizational skills to manage multiple tasks and deadlines effectively

• Familiarity with opening and managing private/corporate bank accounts and ensuring compliance with jurisdictional regulations
