Executive Project Administrator (1-Year Contract, Renewable)

Salary: Up to S$5,500/month (12 months)
Location: Singapore

We are seeking a highly organized and proactive Executive Project Administrator to support senior leadership and project teams in delivering critical initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating across stakeholders, and takes pride in keeping projects running smoothly and efficiently.

What You’ll Be Doing

As a key support to the Project Manager and leadership team, you will:

• Coordinate and schedule meetings, prepare agendas, and take detailed minutes

• Prepare professional decks for meetings, sprint planning, and project reviews

• Track project progress, including SIT/UAT status, and prepare test reports

• Maintain project documentation, including risk, issue, and action logs

• Monitor timelines and proactively flag risks or delays

• Manage project budgets, expense tracking, and vendor coordination

• Act as the main point of contact for stakeholders, ensuring timely updates

• Maintain organized filing systems and project databases

• Support onboarding of new team members and documentation processes

• Prepare reports and presentations using project data and metrics

• Assist in improving project management processes and best practices

What We’re Looking For

• Minimum 3 years of experience in project administration or executive support

• Strong experience in project coordination and multitasking

• Mandatory : Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)

• Familiarity with project management tools (e.g., Asana, Monday.com, MS Project) at an advantage

• Working knowledge of Agile or Waterfall methodologies at an advantage

• Excellent communication and stakeholder management skills

• Strong attention to detail with the ability to manage multiple priorities

• Ability to work independently while collaborating effectively in a team

• High level of professionalism and ability to handle confidential information

The successful candidate will be part of the Hybrid Platform Engineering team

He/She will be responsible for the following:

•Provide deep administration and troubleshooting expertise for middleware technologies, particularly MQ and JBOSS, across both on-premises and cloud environments.

•Perform middleware, monitoring, and backup administration and troubleshooting activities in compliance with company policies and procedures.

•Create and maintain documentation and standard operating procedures related to middleware, monitoring, and backup tools.

•Develop automation solutions using tools such as Ansible and Python scripting to enhance agility and operational efficiency in middleware, monitoring, backup, and related infrastructure areas.

•Support audit processes, infrastructure/network security scans, disaster recovery exercises, and security-related drills.

•Research, evaluate, and deploy new middleware, monitoring, or backup technologies to reduce costs and improve operational efficiency.

•Provide on-call support according to the roster for troubleshooting and planned maintenance of production systems.

Requirements

•Possess a degree in Information Technology or related fields.

•Minimum of 5 years of IT experience, including at least 3 years of hands-on experience in middleware (MQ, JBOSS) and/or enterprise monitoring/backup tools administration.

•Expertise in managing middleware platforms (MQ, JBOSS), including installation, configuration, security, networking, storage integration, patching, and hardening; certification in at least one of these areas is preferred.

•Experience with enterprise monitoring and backup tools, along with other industry-standard solutions.

•Proficient in scripting and automation (e.g., Python, Ansible) to streamline provisioning, monitoring, and backup tasks.

•Familiarity with networking and internet protocols, operating systems, and foundational IT security principles.

•Experience with Agile methodologies, DevOps, CI/CD, and related tools is preferred.

•Strong analytical, project management, communication, and interpersonal skills.
