The Finance & Admin Manager will be responsible for managing Eruby’s finance, accounting, administrative and HR support functions to ensure accurate financial reporting, strong compliance, efficient daily operations and effective business support.

This role requires a hands-on, self-driven and commercially aware finance professional who can manage full-set accounting, support management reporting, provide financial insights to the sales team and work closely with headquarters, internal departments and external partners.

The ideal candidate should be a strong team player with a positive attitude, high sense of ownership and willingness to go the extra mile together with the company as it grows.

Key Responsibilities

1. Finance, Accounting & Reporting

• Manage full sets of accounts, including accounts payable, accounts receivable, general ledger, bank reconciliation, fixed assets and intercompany transactions.
• Prepare monthly, quarterly and annual financial reports for management and headquarters reporting.
• Handle monthly and year-end account closing to ensure accurate and timely financial reporting.
• Prepare financial statements, accounting schedules and supporting documents for audit, tax and statutory reporting.
• Maintain proper financial records and ensure compliance with Singapore accounting standards, tax regulations, company policies and statutory requirements.

2. Sales Finance & Business Support

• Support the sales team with financial analysis for customer quotations, pricing decisions, gross margin review and profitability tracking.

• Prepare financial reports, analysis and dashboards in both English and Chinese to give management clear visibility of sales performance, gross margin, cost movement and overall business profitability.
• Prioritise the timely identification and escalation of financial risks, margin concerns, overdue payments, credit exposure and unusual cost variances to management.
• Support management in evaluating business decisions from a financial perspective, including pricing strategy, customer profitability, payment risk, cost impact and business sustainability.
• Work closely with sales and operations teams to ensure accurate invoicing, cost allocation, revenue recognition and margin tracking.
• Assist in reviewing customer payment status, overdue accounts and credit exposure to support better sales and collection decisions.

3. Tax, GST & Compliance

• Prepare and submit GST filings accurately and on time.
• Coordinate annual tax filing and liaise with tax agents on corporate tax matters.
• Support audit preparation and respond to auditor queries with proper documentation.
• Ensure compliance with statutory requirements, accounting standards, tax regulations and internal company policies.
• Maintain proper records for tax, audit and regulatory purposes.

4. External Coordination

• Liaise with auditors, tax agents, corporate secretaries, bankers, government agencies and other external parties.
• Support banking matters, corporate documentation, statutory filings and company secretarial matters where required.
• Coordinate with external service providers to ensure timely completion of finance, tax, audit, payroll and administrative matters.

5. Administration & Office Management

• Oversee daily office administration, including document control, filing, meeting arrangements, minutes taking and office supplies procurement.
• Manage vendor coordination, office maintenance, insurance renewals, service contracts and administrative records.
• Ensure company documents are properly organized, maintained and easily accessible.
• Support company events, internal meetings and management administrative requirements.
• Assist in improving internal administrative processes and office workflow efficiency.

6. HR Administration

• Maintain employee records, employment documents, leave records and HR-related files.
• Support onboarding, offboarding, employment contracts, work pass matters and staff administration.
• Coordinate payroll-related matters with internal stakeholders or external payroll service providers.

Requirements

Education & Experience

• Bachelor’s degree or diploma in Finance, Accounting, Business Administration or a related discipline.
• Minimum 3 years of relevant finance and accounting experience.
• Experience handling full sets of accounts is required.
• Prior experience in administration and HR support will be an advantage.
• Experience in trading, distribution, electronics, semiconductor, manufacturing or regional business environments will be preferred.
• Experience working with overseas headquarters, China-based teams or cross-border transactions will be an added advantage.

Technical Skills

• Strong knowledge of full-set accounting, financial reporting, GST, corporate tax support and audit preparation.

OVERVIEW OF ROLE

The SalesExecutive – Rooms is responsible for supporting the growth of room revenue through proactive sales activities, account servicing and business development efforts.

Reporting to the Director of Sales, this role focuses on generating room business opportunities across key market segments including corporate, leisure and travel trade. The Sales Executive assists in maintaining strong client relationships, identifying new business opportunities and ensuring excellent service throughout the sales process.

Working closely with the Sales, Revenue Management, Reservations and Operations teams, this role supports the achievement of room revenue targets and overall commercial objectives.

MAIN DUTIES & RESPONSIBILITIES

The main responsibilities of the Sales Executive – Rooms are summarised below; however, the list is not exhaustive.

GENERAL DUTIES

•Proactively prospect and generate room business opportunities across corporate, leisure and travel trade segments.

• Conduct sales calls, client visits, networking activities and site inspections to promote the hotel.

We are seeking a highly skilled and experienced Executive Chef to be seconded to our overseas outlets. The ideal candidate will bring expertise in Southeast Asian and Chinese cuisines, demonstrate strong leadership in kitchen operations, and uphold the highest culinary and food safety standards.

Key Responsibilities:

• Oversee and manage outlet Head Chefs and kitchen teams, ensuring smooth day-to-day operations.
• Lead recruitment, training, and development of kitchen staff for new and existing outlets.
• Ensure strict adherence to SOPs, HACCP, and AVA food safety standards.
• Maintain consistent food quality, presentation, and safety across all outlets.
• Oversee kitchen equipment and facility maintenance to ensure efficiency and compliance.
• Develop and introduce innovative new dishes in line with brand direction and seasonal opportunities.
• Drive culinary excellence while balancing operational efficiency and cost control.

Requirements:

• Proven experience as an Executive Chef or similar senior culinary leadership role.
• Strong expertise in Southeast Asian and Chinese cuisines.
• Solid knowledge of HACCP standards and kitchen management best practices.
• Strong leadership, team management, and communication skills.
• Creative flair in menu planning and dish development.
• Willingness to be seconded overseas (China).

Business Development: Actively hunt for new clients (restaurants, hotels, cafes, and caterers) to expand our market reach.

Account Management: Build and maintain strong relationships with existing F&B clients, ensuring consistent order flow and high satisfaction.

Product Expertise: Confidently present our catalog of frozen, chilled, and dry Japanese food products, explaining seasonal highlights and culinary uses.

Sales Targets: Meet and exceed monthly and quarterly sales quotas.

Order Fulfillment: Coordinate seamlessly with logistics and warehouse teams to ensure on-time and accurate deliveries.

Responsibilities include but are not limited to:

- Be a brand guardian for The Garcha Group, setting the tone as well as the look & feel ofall communication.

- Create and execute social media calendar for daily content on social channels such as

Facebook and Instagram.

- Create and execute EDM schedule.

- Review and respond to all reviews on social media, Marriott and OTA channels within 24

hours.

- Initiate and maintain a yearly schedule of events for marketing campaigns.

- Plan, coordinate and execute marketing campaigns both room-side as well as F&B at

property level, enabling more customized and need based marketing.

- Create and organise photography, videography and associated editing for all marketing

needs.

- Maintain and update Marriott and "vanity" hotel and F&B websites' content to ensure all

communication is up-to-date and on brand

- Create and ensure version control of all graphic collateral assets in all departments of all

hotels and F&B.

- Coordinate PR events with and independently from PR company, and continue

relationships/partnerships.

- Assess, recommend, and develop and maintain relationships with influencers, through a

planned schedule of invitations to hotel inspections and hosted events.

- Respond to all emails within 24 hours regarding any marketing and influencer

opportunities.

- Be up to date with online, above the line, below the line market trends and new

developments.

- Actively monitor competitors' online, above the line, below the line marketing programs

- Identify other online marketing opportunities to increase brand and hotel awareness from

time to time.

- Drive traffic and conversion for the F&B dining venues website, ensuring offers are relevant to the market and produce results

- Maintain and update website content to ensure brand standards and web audit goals are met

- Create awareness and visibility of F&B website through Search Engine Optimization and Display Media

- Ensure optimal utilization of Marriott digital tools and channels to maximize marketing coverage

- Manage social media channels to build brand reputation and loyalty through relevant and engaging content that is brand compliant

- Ensure hotel meets Marriott’s social media measurement goals

- Develop social media campaigns and strategies to increase hotel’s presence and participation

Other Projects/Responsibilities:

• Identify online marketing opportunities to increase property visibility and awareness

• Keeping abreast with online market trends and new developments

• Actively monitor competitors’ pricing and marketing programs

• Support and give advice on any-related digital / online initiatives

• Develop annual digital marketing strategy for the hotel

• Produce videos and/or prints for media marketing purposes

- Any other duties/tasks as requested by management

• Diploma or Degree in Accounting, Finance, or a related discipline
• Minimum 1–3 years of relevant accounting experience (SME experience preferred)
• Hands-on experience using accounting software (e.g., Zoho, MYOB), including data entry, financial reporting, reconciliations, and supporting full-cycle accounting activities
• Knowledge of Singapore GST regulations and basic tax requirements
• Proficient in Microsoft Excel and other Microsoft Office applications
• Strong attention to detail, well-organised, and able to meet deadlines
• Good communication and interpersonal skills
• Ability to work independently and as part of a teamAble to start work on short notice preferred
• Overtime may be required. Candidates who are able to work overtime will be preferred.
• Able to work independently with minimum supervision.

• Collaborate with Relationship Manager to assist in meeting application process

• Develop and maintain understanding of dealer or agent base

• Perform as key contact for dealers or agents for documentation follow up

• Initiate activities to ensure on time and scheduled responses to customers and dealers or agents

• Alert Relationship Managers for any potential delays

• Assist Relationship Managers to attain approval on new applications.

• Evaluate customers applications and conduct phone calls to confirm data where necessary

• Conduct searches for mandatory information to analyse customer’s situation and vehicle details.

• Perform execution of documents and disbursement duties for approved applications
