RESPONSIBILITIES
ACCOUNTABILITY :
Reporting to: Manager for Fostering under the direction of Executive Director (CYG).
JOB SUMMARY:
As a key member of the Gracehaven Fostering and BFF team, you are expected to provide administrative support to the team and ensure processes are followed and well documented.
MAIN DUTIES & RESPONSIBILITIES :
- Administrative Support
- Responsible for monthly operational report to be submitted to MSF
- Oversee payment log and Case Central checks
- Keep track of muster list of active and inactive foster parents / kincarer and the relevant follow up
- Explore and facilitate placements of foster children / kinship in foster/kinship families
- Preparation and compilation of statistics and information required by MSF and other government agencies
- Administrative support for new foster/kinship CYP referred to FA and BFF
- Ensure that the administration processes and function of the FA are effectively and efficiently carried out to align with the direction and vision of the FA/BFF
- Key support in muster audit preparation and finalisation
- Support the FA and BFF in operations and finance matters
- Answer general line and directing of calls to respective staff where necessary
- Administrative support to FA and BFF team
- Minute taking for meetings and disseminate decisions of meeting
- Support for Foster parents
- Maintain 24-hour hotline to support foster parents (On roster within fostering team)
- Assist in supervision of access sessions between foster/kinship CYP and natural family where necessary
- To support foster/kinship parent/child programme and appreciation efforts
- Outreach Events and Volunteer Support
- To support fostering/BFF team in planning and execution of outreach events aimed at recruiting new foster parents and volunteers
- To support in volunteer database and administrative support to event
- Others
- Assist in collation of any reports, statistics and documentation where necessary
- Undertake any other duties as and when required by the agency
QUALIFICATIONS
- At least Diploma qualifications from any discipline
- At least 2 yearrs of work experience involving administrative support
OTHER INFORMATION
Duty Hours
Please be informed that the total work hours is 44 hours per week.
Under normal circumstances the hours of duty will be as follows:
9.30am to 6.30pm - Monday to Friday (inclusive 1 hour lunch break)
It will be at the discretion of your Centre/Department in charge or his/her assigned representatives to determine whether you will be required to work any of the unutilised hours according to the operational needs of the Programme and within the legitimacy of the employment laws where applicable.
The program is a 24/7 community support service, hence flexibility in work arrangement is expected.
