Job Responsibilities
Administrative Support:
Assist the purchasing department in admin matters.
Perform general administrative and clerical tasks such as data entry, filing, photocopying, and scanning documents.
Maintain accurate records of machinery certifications, road tax and insurance renewal
Assist in preparing documentation for audits or inspections when required
Manage office supplies – monitor stock levels and place orders when necessary.
Assist in organizing meetings, scheduling appointments, and preparing meeting rooms.
Support HR/admin team in preparing letters, memos, and reports as assigned.
Handle staff attendance records and assist in maintaining employee files (if required).
Assist with coordination of office maintenance, repairs, and service providers.
Maintain records of company assets, office equipment, and service contracts.
Maintain and update inventory records of materials and tools
Reception Duties (Minimal, as the role will only cover the receptionist duties when existing staff is on leave):
Greet and attend to visitors, clients, and guests in a courteous and professional manner.
Manage the main telephone line – answer, screen, and direct incoming calls appropriately.
Handle incoming and outgoing mail, couriers, and deliveries.
Maintain a tidy and welcoming reception area.
Job Requirements
Minimum 2 years of relevant experience as in purchasing admin.
Good communication skills – verbal and written
Proficient in Microsoft Office (Word, Excel, Outlook).
Well-organized, responsible, and detail-oriented.
Able to multitask and manage time effectively.
Normal office hours - Monday to Friday (8.30am - 5.30pm)
