Job Description

We are seeking a detail-oriented and responsible Income Auditor cum Purchasing Officer to join our hotel finance and procurement team. The successful candidate will support both income audit functions and purchasing operations to ensure accurate financial reporting and efficient procurement processes.

Key Responsibilities

• Verify and reconcile all hotel postings, settlements, and transactions to ensure accuracy in financial records

• Prepare Daily Sales Reports for management review

• Review and verify guest ledger, city ledger, and credit card transactions for accuracy and completeness

• Ensure compliance with month-end closing deadlines and reporting schedules

• Reconcile Food & Beverage Point-of-Sale (POS) transactions with accounting systems and prepare necessary adjustments

• Review voids, adjustments, and complimentary postings to ensure proper authorization and justification

• Assist in preparing month-end income journal entries and support financial closing activities

• Assist the General Cashier in conducting surprise float counts

• Perform any other ad-hoc duties assigned by the Manager

• Manage procurement of goods, services, operating supplies, and equipment in a cost-effective manner

• Source, evaluate, and negotiate with suppliers to achieve competitive pricing, quality, and service standards

• Process purchase requisitions and purchase orders (POs), ensuring timely delivery of goods and services

• Conduct regular market price checks and analysis to support cost control initiatives

• Ensure suppliers comply with required standards, including food safety (HACCP) and internal procurement policies

• Maintain accurate procurement records, including contracts, pricing, and supplier documentation

• Perform any other ad-hoc duties assigned by the Manager

Requirements

• Diploma in Accounting, Finance, Hospitality Management, or related discipline

• Minimum 2 years of relevant experience in the hotel industry or hospitality finance/procurement functions

• Strong proficiency in Microsoft Excel and basic accounting systems

• Good understanding of accounting principles and procurement processes

• Strong attention to detail and accuracy in handling financial data

• Able to work independently as well as in a team environment

• Able to manage multiple priorities and meet deadlines in a dynamic environment

Responsibilities include but are not limited to:

- Tactical sourcing for food and non-food categories related items
- Ongoing assessment, strategic sourcing and supplier relationship management
- Drive purchasing needs within all the departments and manage communication by giving procurement updates weekly
- Identify Cost Control Strategies
- Monthly Purchasing Reports
- Conduct Physical Inventory Counts at various locations within the company
- Examine and analyze inventory levels to ensure they match the records in the company database
- Detect discrepancies or errors in inventory records and report to management
- Identify slow-moving or obsolete inventory and take necessary action to address it
- Collaborate with team members to share inventory audit findings and proposed solutions
- Create reports on inventory levels and communicate findings to management

- Any other duties/tasks as requested by management

Job Requirements:

- Minimum ‘O’ Level and above with at least 2 years of working experience in purchasing in the Hospitality industry
- Good communications & negotiation skills
- Strong research skills & time management
- Planning & coordination
- Proficient in Microsoft applications
- Experience in Purchasing & inventory softwares
- Strong email skills
- Positive attitude, adaptability and able to work independently and as well as in team
- Altminds/orderEZ system knowledge preferred

Responsibilities

Purchasing

• Manages the procurement of goods and services, operating supplies, and equipment, to ensure cost-efficiency and quality.
• Supplier Management : Select, evaluate and negotiate with suppliers to obtain the best pricing, quality and service.
• Procurement Process : Receive purchase requisitions, process purchase orders (POs) and ensure timely delivery of goods.
• Market Analysis : Conduct regular market price surveys to ensure competitive pricing for all items.
• Compliance & Safety; Ensure all suppliers comply with food safety (HACCP) and hotel, local or global purchasing standards.
• Record Keeping : Maintain accurate documentation, including contract terms, prices and vendor certifications.

Requirements

• Diploma in Accounting
• Minimum of 2 years of relevant experience in the Hotel Industry
