Join YWCA Fort Canning’s Front Office team to deliver exceptional guest service in a serene hotel environment, handling reservations, guest relations, billing, and general office duties to ensure a smooth and welcoming experience.

Responsibilities

• Greet and attend to guests promptly to deliver a welcoming and high-quality customer service experience
• Manage all reservation channels to accurately record and confirm room bookings
• Distribute room keys efficiently to guests assigned to their rooms
• Maintain detailed knowledge of room categories, locations, capacities, and furnishings to assist guests effectively
• Resolve guest complaints and issues quickly to maintain guest satisfaction and service standards
• Process accounts and billing accurately and efficiently to ensure correct guest charges
• Perform general office duties including managing correspondence, emails, filing, and operating the switchboard
• Handle all incoming and outgoing mail, faxes, and messages for guests promptly
• Report unusual occurrences to the Supervisor on duty for timely resolution
• Carry out additional duties as assigned by the Supervisor to support Front Office operations

Preferred competencies and qualifications

• Minimum O Level or Higher NITEC in Hospitality Operations preferred
• Minimum 1 year of experience preferably in front desk service
• Ability to work shifts and collaborate effectively as a team player
• Good verbal and written communication skills to interact clearly with guests and colleagues
• Strong customer service skills to enhance guest experience

SCOPE

Reporting to the Front Office Manager, the incumbent in this position is responsible for the efficient, accurate and courteous checking-in and checking-out of hotel guests in a friendly and caring manner according to the Kempinski procedures and Leading Quality Assurance (LQA) standards. At all times, he/she must display a professional and positive image of the hotel as they play a crucial role in the first and last impression the guest receives of the hotel.

RESPONSIBILITIES

• Check in the arriving guest and check out the departing guests in a friendly and caring manner according to the Kempinski and Leading Quality Assurance (LQA) standards.
• Handle all front office cashiers’ transactions such as posting charges to guests and exchanging foreign currency according to the procedures. At the end of shift, balance their cash float.
• Answer all guest requests and questions in a friendly and caring manner, whether by telephone or in person, provide/receive information and takes appropriate actions or refer the matters to the relevant persons to handle. It may be and not inclusive of issuing a safe deposit box, handling messages or dealing with a complaints.
• Coordinate room status updates with the housekeeping department by notifying them of late check-outs, early check-ins and special requests.

REQUIREMENTS

• Minimum O levels or WSQ Front Office Certification or Diploma in Hospitality Management
• Prior experience in the same capacity or any other hospitality related capacity advantageous
• Knowledge in Microsoft Office (Word, Excel and PowerPoint)
• Operational knowledge of front desk operations, Opera and Micros is a plus
• Strong customer service and communication skills
• Able to multi-task
• Good command in spoken and written English is essential and any additional languages is an added advantage
• Well-groomed and professional disposition
• Willingness to work on rotating shifts, weekends and public holiday

POSITION SUMMARY

• Process all guest check-ins, check-outs, room assignments, and room change/late check-out requests
• Communicate to appropriate staff when guests are waiting for an available room
• File guest paperwork or documentation. Operate telephone switchboard station
• Run and check daily reports, contingency lists, and credit card authorization reports
• Responsible for managing group arrivals and departures
• Act as the main point of control for saleable rooms in conjunction with Revenue, Sales and Front Desk teams
• To be familiar with all room types, availability, rates, group movements and billing, daily events, promotions, VIP’s and Guest History guests
• To ensure that the Duty Manager is informed immediately of any emergency, security or health and safety matter
• To be able to manage back office (Front Office) administrative tasks such as inventory control to ensure inventory are managed and ordered when required
• Other administrative tasks such as rostering to be submitted in a timely manner for approval

• Assist in answering of incoming calls from outlet
• Assist in calling of daily new Leads
• Attending to customer / enquiries where necessary
• Any other ad-hoc duties assigned
