Key Responsibilities:

Content Management & Operations:

• Manage daily website content updates, uploads, and maintenance, including listings, metadata, and digital records
• Process content update requests from internal teams and external stakeholders efficiently
• Coordinate content approval workflows in line with established standards and compliance requirements
• Perform thorough quality assurance checks before content goes live
• Monitor published content to ensure accuracy, consistency, and relevance

Analytics & Reporting:

• Extract and compile performance data for regular reporting
• Support trend analysis to identify insights from datasets
• Assist in preparing reports on campaign performance and user engagement
• Collaborate with cross-functional teams to support funnel and performance analysis

Requirements:

• Basic data analytics skills with ability to interpret data and identify trends
• Proficiency in Excel or Google Sheets, including handling CSV files

  About the Role
• We are seeking a Temporary Executive to support data management, engagement coordination, and administrative operations for a 12-month contract period.

Key Responsibilities

Data & Database Management

• Maintain and update youth leader profiles within centralised databases
• Track youth leaders’ engagements across multiple data collection platforms
• Ensure data accuracy, completeness, and consistency

Engagement Coordination

• Manage and maintain the centralised calendar of youth engagements across agencies
• Coordinate invitations for youth leaders to relevant programmes and opportunities
• Work with programme owners to identify suitable youth participants
• Support scheduling and coordination of meetings and engagement sessions

Stakeholder & Programme Support

• Support communication between National Youth Council (NYC) and various government agencies
• Assist with onboarding processes for new youth leaders
• Provide general administrative and operational support for YLE programmes
• Prepare and disseminate programme updates where required

Key Tasks and Responsibilities:

• Provide Support for day-to-day administration of Project Information Management Databases and systems (Engineering Database, IFS ERP System Modules, Project Completion Management System (LUCY).
• Develop and maintain IM System Reports and PowerBi reports.
• Support maintaining project Lifecycle information until Handover to Operations for the project.
• Provide support for any modification in Information Management System or enhancement projects.
• Provide admin support for all Completion activities (Mechanical Completion, Pre- commissioning, Commissioning, Preservation, Punch management activities).
• Assist in Information Management System training for Company users, client, Contractors or vendors.
• Provide support for Triparty Line walk documentation preparation and follow up activities.

• Support data refresh for all Information Management System Reporting.
• Assist in Tag Validation, Data expedition, Data Validation & provide end user training in Engineering Database.

Requirements:

• Diploma or Bachelor’s degree in Engineering, IT, or related field
• 2–5 years of experience in Project Information Management or Engineering Data roles
• Experience with Engineering Databases, ERP systems (e.g., IFS), and Completion Systems
• Proficiency in Power BI and Microsoft Excel
• Knowledge of project lifecycle phases (Engineering to Commissioning & Handover)
• Strong data management, validation, and reporting skills
• Good communication and ability to support and train users
• Detail-oriented and able to work across multiple team

RESPONSIBILITIES

DUTIES & RESPONSIBILITIES

Administrative Duties (Core Duty)

1. Administration & Operations

• Support Centre Manager & Programme Manager (Sojourn) in admin, HR, volunteer and finance (claims) functions
• Maintain accurate records and databases (staff, volunteers, clients, SOPs) in compliance with PDPA and TSA policies
• Liaise with internal departments and external vendors to ensure smooth operations
• Prepare statistics and reports for management and relevant authorities
• Represent the Centre in meetings when required

2. Budget & Financial Support

• Assist in budget preparation and monitoring
• Process purchases, claims, donations and financial documentation
• Ensure proper tracking, documentation and compliance with internal controls
• Support quarterly budget reviews and reporting

3. Programme Support

• Assist in planning, implementing and evaluating Sojourn and MWMG programmes
• Engage migrant workers, volunteers and stakeholders in programme activities
• Support outreach, engagement and development initiatives (e.g. Stay Strong Programme)
• Monitor programme outcomes and recommend improvements
• Ensure workplace safety and cultural sensitivity in programme delivery

4. Volunteer & Stakeholder Engagement

• Support recruitment, coordination and engagement of volunteers and partners
• Maintain positive relationships with volunteers, partners and stakeholders

5. General

• Attend meetings and trainings as required
• Foster teamwork and positive working relationships
• Undertake additional duties as assigned

ACCOUNTABILITY

Reporting to: Centre Manager (Migrant Workers Ministry Group)

Key Responsibilities:

• Work closely with the Centre Manager and Programme Managers (Sojourn & Carehaven)

• Support administrative and programme functions of the Migrant Workers Ministry Group (MWMG)

• Assist in planning, implementing, monitoring and evaluating programmes

• Ensure programmes remain effective and aligned with The Salvation Army's mission and vision

WORKING HOURS

Operates 7 days a week with regular evening activities — flexibility is essential.

Part-Time (24 hrs per work week):

• Tuesday to Friday: ~10am-3pm (5 hrs/day)

• 4 hours on one weekend day

• Schedule may be adjusted with the Programme Manager (Sojourn)

• Evening, weekend & public holiday work may be required based on programme needs.
