Client Intake and Service Coordination

• Manage client referrals and conduct National Means Testing (NMTS) assessments to determine eligibility for Medical Escort & Transportation (MET) services.
• Coordinate transportation and medical escort arrangements for clients attending healthcare appointments and community services.
• Liaise with clients, caregivers, healthcare institutions, and community partners to facilitate smooth service delivery.

Medical Escort Services

• Provide medical escort services when assigned, ensuring clients are accompanied safely to and from their appointments.
• Assist clients with mobility needs, including wheelchair transfers and safe boarding or alighting from transport vehicles.
• Monitor clients' well-being during transportation and promptly escalate concerns according to established procedures.

Operations and Administrative Support

• Schedule and deploy drivers, escorts, and volunteers to support daily service operations.
• Manage the MET hotline, attend to enquiries, and follow up on service requests from clients and stakeholders.
• Maintain accurate client records, service utilisation data, and operational documentation.
• Prepare routine operational reports and service statistics for management and relevant external agencies.

Quality and Compliance

• Participate in service reviews, quality improvement initiatives, and internal audits.
• Ensure compliance with organisational policies, service standards, and safety procedures.
• Support the implementation of standard operating procedures and continuous service improvement efforts.

Other Duties

• Provide general administrative support related to MET operations.

Qualifications

• Diploma in any discipline.
• Candidates with qualifications in healthcare support, social services, community care, or related fields will have an advantage.

Role Overview

The Medical Services Executive plays a pivotal role in ensuring the efficient delivery of healthcare services and the seamless coordination of clinical operations within a lifestyle interventions clinic. Reporting to the Head of Center Operations, this role is responsible for supporting multidisciplinary teams, managing patient service flow, and ensuring that all medical services meet quality service expectations. The ideal candidate is detail-oriented, operations-savvy, and patient-focused, with strong understanding of compliance and service quality.

Key Responsibilities

• Coordinate day-to-day medical services and multidisciplinary appointments (e.g. diagnostics, allied health) to ensure smooth patient journeys
• Oversee schedules, appointment flows, room allocations, and patient throughput efficiency
• Ensure operational readiness of clinical rooms and support smooth transitions between services
• Guide patients through each stage of their screening journey, escorting them between stations to ensure clarity, comfort, and minimal waiting time
• Provide a high-touch experience for all patients through timely, attentive, and personalised support, including serving refreshments and attending to comfort needs
• Serve as a service liaison and escalation point for patient queries, concerns, and feedback
• Assist in maintaining accurate records, consent forms, and medical documentation in accordance with MOH retention guidelines and PDPA compliance
• Support the implementation of SOPs and operational workflows to ensure service consistency; identify and escalate gaps in care delivery, scheduling, patient communication, or service coordination

Requirements

Qualifications & Experience:

• Tech Savvy - Proficient in healthcare IT systems (e.g. Plato EMR, scheduling tools) and Microsoft Office.
• Strong communicator with good presentation skills and results driven
• Prior experience in clinics or former flight attendants with strong service, communication, and operational coordination skills are highly desirable
• Willing to be AED/CPR trained in cases of a medical emergency

Primary Responsibilities (80%)

1. Responsible for daily operations of assigned allied health departments, including front counter services, partnering Allied Health Leads and all other staff working within the department to solve system and process problems.

2. Ensure systems and processes are in accordance with HAP/SOP/Work Instructions and periodic reviews and updates of relevant documents

3. Manage annual financial budgeting and periodic reviews of expenditures to achieve financial prudency for assigned allied health department.
