Job Description:

• Responsible to perform billing activities in the system in an accurate manner.
• Ensure all billing activities are well coordinated to meet customers’ requirement.
• Issue Invoices and Delivery Orders, coordinate with warehouse and follow up on delivery.
• Generate and send out invoices to customers on time.
• Update sales database into the system.
• General administrative duties.
• Any other ad hoc tasks as assigned.

Job Requirements:

• 1 to 2 years of relevant working experience.

Sort incoming mail (i.e. letters, packages ,newspapers, magazines) as required.  Load applicable trucks and trailer with outgoing mail. Dispatch outgoing mail, which includes facing, canceling, sorting, labeling, typing and sacking of mail as required by the area mail routing guidelines.  Incumbent determines if article presented for shipment can be mailed and will not present a risk to employees or equipment utilizing applicable United States Postal Service (USPS), Department of Defense (DOD) and Department of the Navy (DoN) manuals.  Determines the proper amount of postage and fees to be applied and advises the customer of the applicable customs requirements for the article. Accept funds derived from the sales of stamps, money orders, stamped paper, stamped envelopes and Postal Validated Imprint (PVI) tapes, etc. Operates postage meter/PVI machines. Prepares daily financial reports and accounts for funds derived from finance operations.  Conducts research for answers to customer questions/inquiries. Provides financial training to newly appointed postal personnel.

Key Responsibilities

Data Entry & Record Keeping

• Perform daily data entry and updates in the accounting system

• Update and maintain spreadsheets (e.g., Excel)

• Scan, file, and maintain proper documentation

Accounts Receivable (AR) & Collections

• Issue invoices, process receipts, and monitor incoming payments

• Follow up on outstanding balances and track AR aging

Accounts Payable (AP) & Expenses

• Process supplier invoices and assist in preparing payments

• Assist with expense claims processing

Administrative Support

• Perform other administrative and ad hoc duties as assigned

Requirements
