Key Responsibilities

1. Human Resources (HR) Administration

• Post job advertisements and coordinate recruitment activities (screening, interviews)
• Maintain employee records (leave, medical, HR documentation)
• Support onboarding, training coordination, and employee engagement initiatives
• Ensure compliance with HR policies and employment regulations

2. Finance Administration

• Handle confidential financial data and documentation
• Manage CPF submissions via CPF portal and statutory filings
• Prepare IR8A forms and assist with GST submissions
• Handle invoicing, billing accuracy, and documentation
• Manage Accounts Payable (AP) and Accounts Receivable (AR)

3. Office Administration & Operations

• Manage office supplies, vendors, and service providers
• Coordinate office maintenance (cleaning, repairs, utilities, printers)
• Ensure a safe, organised, and efficient work environment

4. Data Entry & Reporting

• Perform accurate data entry across HR and finance systems
• Generate reports and support basic data analysis
• Maintain data integrity and confidentiality

Requirements

• Diploma in Business Administration, Human Resources, Finance, or related field
• Good written and verbal communication skills in English
• Proficient in Microsoft Office (Word, Excel, PowerPoint)
• Strong organisational skills, attention to detail, and accuracy
• Ability to multitask and prioritise effectively
• Comfortable handling data and administrative processes

Preferred (Good to Have)

• Prior experience in administration / HR / finance support
• Experience in a professional services or corporate environment
• Familiarity with CPF submissions, invoicing, or basic accounting

Lead and implement financial controls, manage statutory reporting, coordinate audits and tax submissions, analyze costs and manufacturing performance, oversee cash flow and banking relations, and ensure efficient office administration and HR practices.

Responsibilities

• Implement and monitor effective internal controls for all financial and operational processes to ensure organizational compliance
• Guide and apply appropriate costing methods to support accurate financial management
• Review and analyze company-level financial and management accounts and prepare consolidated group accounts for reporting
• Coordinate audit schedule preparation and liaise with auditors to ensure timely statutory audit completion
• Collaborate with tax agents to ensure timely and accurate submission of tax returns
• Manage all company secretarial matters to maintain regulatory compliance
• Analyze materials, labor, and overhead costs to evaluate manufacturing performance and cost efficiency
• Control and manage inventory to optimize stock levels and reduce waste
• Manage cash flow by analyzing expenses and reviewing cost control procedures to maintain financial stability
• Negotiate with banks to optimize interest costs and manage credit control by evaluating buyer credit terms and ensuring effective collection of receivables
• Oversee smooth operation of office administration and human resource functions, including IT and insurance management
• Regularly review and enhance human resource practices and staff benefits to support employee engagement and retention
