The Opportunity:

Adecco is partnering with an established multinational organisation within the industrial solutions sector, and we are looking for a Service Admin Executive to support their service team on a 1-year contract basis.

This role will be suitable for candidates who are detail-oriented, system-savvy, and comfortable handling invoicing, billing coordination, AR follow-ups, and internal administrative processes within a fast-paced service environment.

• Working Hours: Monday - Friday, 8:30am to 5:30pm
• Salary Package: Up to $4,300 + 1-month Completion Bonus

The Job:

• Prepare and issue invoices for service contracts, projects, and ad-hoc service jobs
• Ensure completed Work Orders are reviewed and invoiced promptly
• Manage monthly and milestone billing cycles
• Review supporting documents such as PO, DO, and service-related documents
• Monitor outstanding invoices and follow up on overdue payments
• Assist in resolving invoice discrepancies, rejections, and billing-related issues
• Coordinate with Sales, Service Engineers, Finance, and customers on billing matters
• Maintain accurate documentation and support audit/internal reporting requirements
• Support internal reporting, audit requirements, and process compliance

The Talent:

• Prior experience in administration, invoicing, billing, AR support, service coordination, or operations support
• Familiarity with SAP, ServiceMax, or other ERP/service systems will be highly advantageous
• IT-savvy and comfortable learning new systems
• Strong attention to detail and accuracy
• Good communication and coordination skills
• Ability to follow through on pending matters independently
• Able to start immediately or on short notice is highly advantageous

Job Responsibilities

1. Lead Conversion Support

• Convert walk-in and WhatsApp enquiries into direct enrolment, trial classes or diagnostic consultation sessions.
• Support lead generation campaigns planned by marketing team

2. Administrative and Service Excellence

• Facilitate student onboarding from enquiry to confirmed registration
• Attend to day-to-day parent and student queries via WhatsApp and email
• Execute routine customer communications such as announcements, reminders, follow-ups
• Track class attendance and follow up with absentees and parents

3. Operational Excellence

• Carry out centre opening and closing routines; maintain cleanliness of premises

Job Description:

Customer Operations (70%)

1. Customer Renewals Management

• Proactively track upcoming contract renewals and reaching out to customers at least 60-90 days before expiration
• Process renewals including quotations and contracts from start to completion
• Maintain renewal pipeline and provide renewal updates on a regular basis
• Maintain customer contracts and records in a timely and organized manner
• Coordinate between customers and internal teams (tech support, billing, sales)
• Achieve renewal targets of at least 80%

2. Customer Relationship Management

• Regular check-ins via email and phone with install base customers
• Address feedback and basic enquiries of install base customers appropriately
• Assess and route customer issues to respective ENX sales & technical team as required
• Identify Upsell/ Cross-sell opportunities based on customer usage, growth or needs
• Qualify leads and pass them on to Sales team for follow up
• Organize customer training sessions, including onboarding of new user/s from install base customers for training of ENX Sustainability Suite platform.
• Support Marketing Head in customer engagement initiatives to drive customer success function – identify opportunities for case studies, testimonials and organize customer events.

ADMINISTRATIVE DUTIES (30%)

3. Vendor & Supplier Management

• Manage vendor & supplier database and pricing list
• Support procurement needs of ENX projects, working closely with sales and field engineer teams
• Handle RFQs and pricing, issue PO, track inbound deliveries
• Maintain inventory, record material drawdowns
• Track and record requests and termination of SIM cards for customers’ project deployment

4. Office and Facilities Management

• Manage office supplies and services related contracts, including facilities, cleaning and others
• Assist to organize company events or team activities when required
• And any other ad hoc tasks assigned

Role Requirements

• Diploma in Business Management/ Marketing or related field.
• 3-5 years of working experience, preferably in a customer relationship management capacity
• Self-starter who thrives with autonomy and decision making within established guidelines
• Comfortable to work independently with minimal supervision
• Meticulous with very strong organizational skills to manage operations and administrative duties
• Excellent communication skills to engage with customers
• Strong interpersonal skills to work with multi stakeholders internally and externally
