• Arranging of insurance and certification requirements for shipping
• Freight. Manage relationships with 3PLs and freight forwarders to optimize shipping routes and costs.
• Customs & Compliance: Navigate Singaporean and international trade regulations. Ensure all cargo has correct Certificates of Origin, shipping certifications, and meets destination-specific import requirements.
• Administer the insurances which include Industrial All Risks, Public Liability, Marine, Terrorism, D&O, P&I insurances

Project & Financial Control

• Schedule Alignment: Synchronize procurement lead times with project construction schedules to prevent costly on-site delays.
• Change Management: Coordinate with engineers and project managers to handle design changes, ensuring the supply chain adjusts without compromising project milestones.
• Total Cost of Ownership (TCO): Perform spend analysis and budget forecasting to mitigate the impact of fluctuating raw material and electronic component prices.
• Maintain supplier database - Create/update/delete of Vendor Profile in system (Xero)

Requirements

• Experience: 5+ years of experience in Procurement or Supply Chain Management, specifically within the Construction or Engineering/Electronics industries.
• Trade Expertise: Proven track record of managing trans-Pacific and intra-Asian logistics (specifically involving China, Vietnam, and the US).
• vAble to use Xero or other procurement software
• Able to use Microsoft Office for Word and Excel and Adobe Acrobat
• Able to multi-task and work in a fast paced environment
• Independent and meticulous
• Experienced in sourcing, procurement, vendor management
• Strong communication and negotiation skills
• Have excellent negotiating skills with a strong ability to influence people of all levels.

Key Responsibilities:

Manage local procurement for whole company

• Sourcing of new products and suppliers

• Engage in negotiations with suppliers/vendors for best price

• Enter into contract with suppliers

• Manage product returns

• Handle daily purchase requisitions

• Consolidate Purchase Requisition and convert to Purchase Order

• Source for alternatives in OOS situations

• Decide validity of Purchase Requisition
  

Management of item master

• Creation of new items & vendors in the ERP System

• Manage overseas procurement for whole company

• Create PO for overseas purchases (Linda/Taobao (includes Soon and Bel))

• Liaise with freight forwarder regarding shipment of goods

• Submit invoices/ claims/ payments receipts to Finance department

• Manager suppliers/ vendors (vendor management)

• Manage the quality provided by vendor - gather feedback from users regarding product/ handle quality issues and inform suppliers/ vendor
  

Liaise with Finance department on payment

• Develop and implement strategies for purchasing areas aligned with the Company's food and beverage objectives

• Maintain par level of stocks, complete requisition for additional supplies as appropriate

• Maintain and research pricing for all purchased goods and conduct vendor assessment

• Maintain all records needed for accounting

• Maintain all specifications and update them in conjunction with the chef on a constant basis

• Monitor and forecast upcoming levels of demand

• Manage the operations of purchasing department

• Source and recommend potential suppliers in accordance with company's procurement  procedures

• Negotiate for the best price for goods without compromising quality to ensure cost savings

• Handle day to day purchasing operation from quotation to proposal

• Handle Purchase Orders, Purchase Requisitions, Invoices and Delivery Orders

• Ability to rectify discrepancies in orders

• Analyze trends and market conditions for pricing, availability, lead time and capacity of goods and services

• Analyze market trends and collaborate with senior management and marketing department to come out with new promotions

• Make purchases from overseas including equipment and customized products

• Menu item programming as well as supplier and inventory maintenance for ERP systems

• Any other ad-hoc duties
  

Requirements

· Minimum 2-3 years of procurement experience in F&B industry

· Effectively bilingual in English and Chinese language to liaise with various departments/ vendors

· Ability to work independently as well as within a team

· Able to multi-task and work within tight deadlines

· Good negotiation skills

· Working knowledge of various computer software programs (MS Office and ERP system)
