A. PRIMARY JOB PURPOSE

Reporting to the Executive Director and working closely with the Assistant Director (Content, Membership and Special Projects), the Facilities & Admin Assistant Manager / Manager oversees the planning, coordination and management of facilities, administrative operations, membership support, and legacy initiatives within Singapore Aquatics (SAQ).

This role ensures efficient facilities utilisation, smooth execution of travel and administrative processes, strong stakeholder engagement, and the development of SAQ’s legacy, alumni and historical records.

B. JOB RESPONSIBILITIES

1. Facilities Administration

• Oversee booking of OCBC Aquatic Centre and SportSG facilities for training, events and programmes
• Manage facilities scheduling, including deconfliction of schedules
• Be the main point of contact to liaise with clubs, facility managers and stakeholders on all facilities matters
• Prepare and manage displacement plans for training, events and programmes
• Manage facilities protocols for the National Training Centre, including access and usage
• Monitor facilities budget and track monthly usage
• Prepare annual facilities utilisation plans and forecasts in consultation with disciplines and events team
• Liaise with SportSG on matters relating to invoicing and billing

2. Travel Administration

• Oversee and coordinate all travel, accommodation and insurance arrangements for national teams

• Manage and resolve travel-related issues when required

3. Administrative Responsibilities

• Provide secretariat support for Annual General Meetings and Executive Committee Meetings, including minutes taking

• Ensure documentation of deliveries matches request specifications
• Identify and report shortages, damages and discrepancies in deliveries
• Oversee inventory management, including stock tracking, withdrawals and periodic physical stock counts

QUALIFICATIONS & EXPERIENCE

Required  10+ years of experience in depot repair, service centre management, or after-sales operations, with at least 5 years in a management role. Proven track record of building and managing partner ecosystems, vendor networks, or strategic alliances in a repair/service environment. Demonstrated success in driving revenue growth, winning new business, and expanding service capabilities through commercial initiatives. Deep technical understanding of repair processes across multiple product categories (e.g., IT, telecom, consumer electronics, industrial equipment). Strong commercial acumen with experience in P&L management, pricing strategy, and contract negotiation. Experience with quality management systems (ISO 9001, IPC, or equivalent) and continuous improvement methodologies. Exceptional leadership skills with a track record of building and developing high-performing, multi-disciplinary teams.

Preferred Experience in securing OEM authorised repair centre status for major technology brands. Background in managed services, circular economy, or asset lifecycle management. Familiarity with ERP/repair management systems (e.g., SAP, ServiceNow, or bespoke depot management platforms). MBA or relevant postgraduate qualification is a plus. Industry certifications such as Lean Six Sigma Black Belt, ITIL, or equivalent.

Job Responsibilities:

· Carrying out maintenance, repairing and servicing tasks (Electrical /Aircon / Mechanical / Building / Repairs).

· Carry out preventive / breakdown and corrective maintenance of M&E works or Aircon or Building.

· To carry out maintenance operations for facilities or buildings , including troubleshooting and repairing mechanical, electrical, and plumbing systems

· Attend to defects and customers' complains promptly. Respond to any fault reports, client requests, or any breakdowns efficiently.

· Performing regular maintenance and repairs on the building facilities or systems to ensure smooth operation. Reporting any fault issues to the supervisor.

· Conduct preventive checks and troubleshooting on the M&E systems.

· Record or inform supervisor of any faults or issues during routine checking.

Lab Technician cum Admin needed!

Salary range: S$2200 - S$2800 (commensurate with experience)

Working hours: Mon-Fri 8.30am to 6pm

Work Location: Town

Responsibilities:

• Render technical support for the laboratories and to assist Teachers in the day-to-day running of the science laboratories
• Planning monthly lab schedule for all laboratories lessons
• Preparing monthly lab reports
• Doing set up, trial and demonstration for all experiments
• Monthly inventory list and stock taking for equipment, chemical and lab coat
• Purchase of chemicals and apparatus
• Prepare teaching materials for new intakes
• Purchase of Academic Resources like books, stationery & teachers' resources
• In charge of textbook collection by students or parents
• Ensure new teachers have their teaching resources during induction
• Taking care of the well-being of students
• Assisting with the Academic department in documentations such as arranging of relief teachers, sending memos/circulars to teachers, prepare teaching materials, exams materials etc
• Other duties as assigned by Management

Requirements:

• Relevant working experience in a school lab environment preferred
• Able to work independently as well as a good team player
