Position Summary
The Purchasing Assistant supports the procurement team in sourcing, tracking, and managing
supplies essential to daily operations. This role is ideal for someone detail-oriented, organized,
and passionate about supporting a hospitality brand that values quality, sustainability, and local partnerships.
Key Responsibilities
Procurement Support
• Assist in sourcing quotations and comparing prices, quality, and delivery timelines
• Prepare purchase orders and follow up with suppliers to ensure timely delivery
• Coordinate with internal departments to confirm purchasing needs and specifications
• Maintain updated records of purchases, pricing, and supplier information
Inventory & Documentation
• Monitor stock levels and alert the team when reordering is required
• Support inventory checks and stock reconciliation processes
• Ensure all procurement documents are properly filed and accessible for audit
purposes
Supplier Coordination
• Liaise with local vendors and service providers to track order status
• Assist in evaluating supplier performance and maintaining positive relationships
• Support initiatives to source eco-friendly and locally produced goods
Administrative Duties
• Update procurement databases and assist in generating reports
• Assist in processing invoices and liaising with the Finance team for payment follow-up
• Ensure compliance with internal procurement policies and procedures
Requirements & Qualifications
• Minimum SPM or equivalent; Diploma in Business Administration or related field is an
advantage
• 1–2 years of experience in a purchasing or administrative role preferred
• Proficient in Microsoft Excel and basic procurement software
• Strong attention to detail and organizational skills
• Good communication skills in English and Malay; Mandarin is a plus
• Able to work independently and as part of a team
